An employee in trainee status shall meet the minimum qualifications within the period of time specified on the SJD, not to exceed one year of being hired into this position.RESPONSIBILITIES:DETAILED TASKS (AGENCY/POSITION-SPECIFIC):Updates all contractor/project databases and files to ensure integrity of the contract tracking system. Manages the Construction Bureau’s CAMS database to track Construction projects, ensuring milestones are entered in an accurate and timely manner, as well as in compliance with state and federal standards. Creates and provides reports and summaries to Administrator. Generates status letters. Edits and distributes preconstruction and final inspection minutes.Audits timesheets and leave slips for completeness and accuracy for all Bureau employees and prepares the payroll for approval. Maintains leave records and responds to all requests for information regarding leave time. Serves as MATS Labor and Equipment Manager 1 for the Bureau. Responsible for tracking field personnel winter assignments in the Construction/Audit Management Systems (CAMS) database.Prepares payment vouchers and requisitions for all expenditures relating to the Bureau. Purchases supplies and equipment for the Bureau. Reconciles financial records to provide financial tracking and budget control of specific Bureau projects as needed.Supervises the fleet management of Bureau vehicles. Processes Bureau vehicle accident reports.Provides general secretarial support, including typing, filing, and answering telephones. Schedules appointments and meetings, particularly preconstruction and final inspection meetings for the field staff.Performs administrative duties in the absence of Administrative Secretary.
