All work under this contract shall be performed at the Government site. This work is full time onsite at Robins AFB GA.Position OverviewThe Administrative Assistant (Front Desk / Data Entry) provides essential customer service, administrative, and data management support to the Military & Family Readiness Center (M&FRC) at Robins Air Force Base. This position serves as the primary point of contact for clients, delivering professional front desk reception services, coordinating scheduling for programs and services, and maintaining accurate data within Air Force and Department of Defense systems. The role requires strong organizational, communication, and technical skills to ensure efficient service delivery, accurate reporting, and compliance with performance standards. The Administrative Assistant operates in a dynamic, customer-facing environment supporting military members and their families, ensuring timely assistance, professional interactions, and high-quality administrative execution.Position Functions / RolesCustomer Service and Front Desk OperationsServe as the primary point of contact for M&FRC clients, greeting visitors and answering telephone callsDetermine client needs and direct individuals to appropriate program staff or servicesProvide clear and accurate information regarding M&FRC programs, services, and schedulingMaintain a professional, organized, and welcoming front desk environmentScheduling and Program SupportSchedule clients for classes, workshops, and Transition Assistance Program (TAP) servicesCoordinate appointment availability and communicate scheduling details to clientsSend reminder communications (e.g., emails) in accordance with program timelinesData EntryInput and maintain accurate client and program data in AFFIRST and other designated systemsEnsure data accuracy meets required performance thresholds (e.g., ≥85% accuracy within required timelines)Maintain current and complete records in accordance with program requirementsGenerate monthly reports on client usage and service metricsAdministrative and Reporting SupportMaintain records of client sign-ins and service utilizationPrepare and submit recurring reports to the M&FRC leadership and Contracting Officer Representative (COR)Support general administrative functions including document preparation and data trackingPerformance and Quality AssuranceMeet established service standards, including responsiveness to customer interactions and accuracy of workEnsure all tasks are completed in accordance with PWS requirements and performance metricsMaintain professionalism and adherence to Government policies and proceduresSecurity and ComplianceSafeguard Government information, equipment, and systemsComply with Privacy Act requirements and all applicable security protocolsParticipate in required training and maintain compliance with installation and system access requirementsCoordination and CommunicationWork closely with Government personnel, program managers, and M&FRC staffCommunicate effectively with a diverse client population including military members and familiesSupport awareness and utilization of M&FRC programs and servicesBackground RequiredDemonstrated ability to work in an administrative, customer service, or office support environmentFamiliarity with standard office operations, scheduling processes, and client service workflowsWorking knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and web-based applicationsAbility to operate data entry systems and maintain accurate electronic recordsUnderstanding of professional office etiquette and front desk operationsBasic awareness of military environments, family readiness programs, or government service environments preferredAbility to obtain and maintain installation access, including a Common Access Card (CAC), and comply with DoD security and information assurance requirementsExperience RequiredMinimum of one (1) year of customer service experience in a professional environmentExperience performing administrative or clerical duties such as scheduling, data entry, or customer interactionExperience using computer-based systems for record keeping, scheduling, or reportingDemonstrated ability to manage multiple tasks, prioritize workload, and meet deadlines in a structured environmentExperience interacting with diverse populations and providing clear, accurate information to customersExperience maintaining accuracy and attention to detail, particularly in data entry or reporting functionsCertifications / Credentials RequiredNo formal professional certifications requiredAfter hiring, must successfully complete:DoD Information Assurance (IA) training and/or exam for system accessInstallation access requirements including background screeningAny required Government-provided system training (e.g., AFFIRST, TAP systems)Ability to obtain and maintain a Common Access Card (CAC)Compliance with Privacy Act requirements for handling sensitive informationMin.
