What You'll DoOperations & Logistics•    Oversee High Point Fair orders — payments, shipping, follow-ups, and replacements•    Manage warehouse deliveries, returns, replacements, and refunds•    Schedule and coordinate furniture deliveries for projects and inventory•    Work closely with the Warehouse Manager to maintain inventory levels and ensure timely restocking•    Open accounts with new vendors and keep vendor information current•    Order and restock office and warehouse suppliesAdministration & Coordination•    Monitor and respond to the company's general email account•    Schedule vendor appointments, meetings, and internal/external events•    Welcome and assist walk-in clients, ensuring a professional in-store experience•    Oversee online sales — prompt responses and accurate order fulfillmentFinancial Management & Bookkeeping•    Generate invoices for furniture and accessories based on design team input•    Handle bookkeeping tasks: data entry, account reconciliation, and basic financial statements•    Submit monthly sales tax reports and documentation to the company's accountant•    Follow up on open invoices and outstanding bills to ensure timely collection and paymentInventory & Purchasing•    Manage and reorder inventory items as directed by Principals•    Coordinate with the Warehouse Manager on stock levels and purchasing needs•    Maintain organized records of all purchase orders, shipments, and returnsWhat We're Looking For•    Experience in operations, or a similar administrative role•    Strong bookkeeping or financial administration skills•    Highly organized with excellent attention to detail•    Proactive and solutions-oriented — you manage problems before they escalate•    Comfortable managing multiple priorities in a fast-paced environment•    Proficiency in Microsoft Office•    Proficiency in QuickBooks Online•    Experience with invoicing•    Fluent in English — bilingual (English/Spanish or English/Portuguese) is a plus•    Must be authorized to work in the United States
