This role supports outside sales representatives and contractor customers by managing project quotes, submittals, orders, and timelines while ensuring accuracy, responsiveness, and customer satisfaction throughout the life of each project.Key ResponsibilitiesSupport commercial HVAC outside sales representatives and contractor customers on active projectsPrepare detailed project quotes, takeoffs, and pricing for commercial HVAC equipment and systemsManage projects from initial quotation through order fulfillment and closeoutCoordinate equipment orders, lead times, deliveries, and job site requirementsReview project specifications, drawings, and schedules to ensure accurate product selectionPrepare and process submittals, documentation, and job-related paperworkCommunicate regularly with customers, manufacturers, and internal teams regarding project statusResolve order issues, backorders, and delivery challenges in a timely mannerMaintain accurate project records, pricing, and communications in ERP/CRM systemsStay current on commercial HVAC products, manufacturer offerings, codes, and industry trendsRequirementsQualifications & Experience 3+ years of experience in commercial HVAC inside sales, project management, or distribution Strong knowledge of commercial HVAC equipment and systems Ability to read and interpret construction drawings, specifications, and schedules Excellent organizational, time management, and multitasking skills Strong attention to detail and accuracy Effective communication skills with contractors, sales teams, and manufacturers Proficiency with ERP/CRM systems and Microsoft Office Ability to work in a fast-paced, deadline-driven environment Preferred QualificationsExperience working with commercial HVAC manufacturers and repsFamiliarity with submittals, takeoffs, and project documentation Technical HVAC background or formal HVAC education Experience supporting design-build or plan-and-spec projectsSalary Description$60,000 - $65,000
