Job Description
Under direction of the Director of Admissions & Records coordinate the daily operations of enrollment services; by overseeing the Instructional Service Agreements within the Admissions & Records and Financial Aid office, identity verification of students, and assist/backup Student Accounts Specialist and Admissions & Records Specialist. This position is contingent upon continued grant funding.
Required Qualifications
Associate Degree with coursework in business, or related discipline: AND
One (1) years of customer service record keeping or related experience;
OR
Any combination of education and experience which would provide the required qualifications for the position.
Demonstrated sensitivity to and understanding of the diverse academic and socio-economic, cultural, disability, and ethnic backgrounds of community college students and staff
Desirable Qualifications
Community college experience is preferred
Modern office practices and procedures, experience with the MS Office Suite; strong Excel skills
Analyzing, managing, and reporting data using spreadsheets and other technology tools such as SQL
Coursework or high-level experience with relational databases such as Access or Banner
Customer service: strong interpersonal skills; oral and written communications; friendly and helpful; and solution-based with problem-solving
Experience coordinating programs
Essential Duties
Coordinate the admissions process for students including students enrolled through Instructional Service Agreements (ISAs), ensuring accurate and timely processing of applications and collection of enrollment documentation.
Coordinate and oversee admissions and records for other programs as assigned.
Serves as the primary liaison for undocumented students enrolled at the college.
Assist with ensuring all admissions comply with federal, state, and institutional regulations, particularly those specific to ISA programs; prepare and submit required reports.
Maintain accurate records of student enrollment, and related documentation, ensuring data integrity and confidentiality
Work closely with other college departments, such as the Registrar, Advising Office, and Financial Aid Office, to ensure comprehensive support for students.
Review and analyze admissions and financial aid applications to detect inconsistencies, false information, or fraudulent documentation.
Conduct thorough investigations into cases of suspected fraud related to admissions and financial aid, including identity theft, falsification of documents, and misrepresentation of financial need.
Establish protocols for identifying and addressing potential fraud, ensuring alignment with institutional policies and regulations.
Work with IT department to prevent fraud, including verification processes, data audits, and cross-checks with external databases
Prepare detailed reports on investigations, including findings, recommendations, and actions taken.
Assist ISP and outside program student enrollments in collaboration with the Admissions & Records Specialist.
Offer support and backup to the Student Account Specialist with student invoicing and collections, as well as managing student accounts and addressing other student account needs.
