What this job involves: Site Operations / MAC Coordinator - JLLAs a Site Operations/MAC Coordinator at JLL, you'll provide comprehensive administrative and operational support that keeps our clients' facilities running smoothly and efficiently. This role combines day-to-day facilities operations with project management responsibilities, positioning you as a key liaison between clients, vendors, and internal stakeholders. You'll manage work orders for both Facilities and MAC (Moves, Adds, Changes) projects while coordinating events that bring workplace environments to life. What sets JLL apart is our culture of collaboration, locally and across the globe, and you'll experience this first hand as you coordinate across teams to create exceptional workplace environments.Your day-to-day tasks will include:Scheduling and coordinating vendor activities and site inspections Maintaining accurate records of vendor interactions, service requests, and site activities Assisting in the preparation of basic reports on site operations and vendor performance Responding to routine inquiries from staff, vendors, and clients Supporting the implementation of site procedures and protocols Helping to organize and maintain site documentation and operational manuals Assisting in tracking and reporting on key performance indicators (KPIs) Coordinating site meetings and helping to prepare relevant materials Helping to support front desk operations and greeting visitorsLiaison with regional mailroom lead to ensure smooth site operationsParticipate in safety and compliance initiatives to promote a safe working environmentProvide back-up Reception support on as needed basisProvide back-up mail room support on as needed basisMAC/Events CoordinationAssist with development of scope and schedule for relocation and reconfiguration setups and resets for eventsHandle administrative responsibilities including meeting minutes, agendas, and event project reportsManage action agendas and associated event project documentationReview and edit event project documentation developed by team membersUpdate event project documentation on client or facility management SharePoint sitesClient Stakeholder ManagementReceive and process client requests for both operational and events needsParticipate in planning meetings with clients, facility managers, and key stakeholdersInitiate meetings to review event project schedules with vendors and stakeholdersCommunicate issues and concerns requiring resolution to appropriate JLL leadershipRespond to routine inquiries from staff, vendors, and clientsReporting and DocumentationAssist in preparation of reports on site operations, vendor performance, and event project statusTrack and report on key performance indicators (KPIs)Assist with close-out activities including reports, lessons learned, and client surveysSupport the implementation of site procedures and protocolsMaintain site documentation and operational manualsDesired experience and technical skills:Required2 years of experience in facilities coordination, operational support, relocation project management support, or similar role in a Corporate Real Estate environmentExperience working with/on Event CoordinationStrong organizational skills and attention to detail with ability to multi-taskProficiency in Microsoft Office Suite, particularly Excel, Outlook, and other core applicationsProficiency in Google Workspace Apps, particularly Sheets, Mail, and other core applicationsExcellent written and verbal communication skillsAbility to prioritize tasks, manage time effectively, and work both independently and as part of a teamExcellent understanding of customer service principlesExperience with CAD/CAFM technology with move management modulesExperience with CMMS technology to manage, schedule, and coordinate onsite workAbility to work onsite full time with flexibility for travel between client locationsPreferredBachelor's degree in related field(s) or related discipline(s)Knowledge of construction or commercial real estate industryFamiliarity with architectural drawings and furniture/space planning conceptsExperience in facilities or property management environmentUnderstanding of health and safety practices in workplace settingsStrong interpersonal skills with ability to interact with executive level internal and external clientsPersonal AttributesDetail-oriented with ability to prioritize and manage differing business needsSelf-motivated with ability to identify skill development opportunities and seek trainingFlexibility with work hours and travel as neededTalent for self-management and proactive problem-solvingAdditional information:Location: Austin, TXThis is an On-site position.
