The Program Coordinator will be responsible for our various Vocational Rehabilitation programs, including Rehabilitation Instruction Services (RIS), Job Development/Retention (JDR), Career Exploration, Supported Education, and Tutoring for students with disabilities. This role owns day-to-day execution: staffing, scheduling, service quality, documentation readiness, and on-time reporting. You will ensure services start only after proper authorization, stay aligned to each program’s specifications, and are delivered in an accessible, culturally responsive way that supports client progress. The ideal candidate will be comfortable with: Smooth daily operations across all programs (planning, delivery, documentation flow, and issue resolution). Compliance with authorization controls, timelines, and required exhibits/reporting packets. Staff readiness: onboarding, training reinforcement, scheduling coverage, and quality monitoring. Client success and engagement: proactive follow-up, barrier resolution, and timely escalation when required. Key Responsibilities VR Program Operations Coordinate service delivery for Career Exploration, Supported Education, JDR, and RIS, ensuring alignment to each program’s service specifications and required activities. Track referrals/assignments, schedule required meetings and ensure service initiation occurs only after written authorization through the RSA System of Record via the MSP. Maintain program trackers (authorizations, sessions delivered, upcoming deadlines, required exhibits, reporting status, closures). Documentation, Reporting, and Compliance Ensure complete, organized case files that support accurate and timely monthly reporting packets and required exhibits. Implement internal checklists and quality checks to reduce packet errors, corrections, and delays. Ensure required notifications occur on time (e.g., when two contact attempts fail, participation is inconsistent, or serious barriers interfere with completion), and that actions are documented appropriately. Coordinate required meetings and documentation steps such as CSP-related workflows and service-specific checklists. Service Quality and Client Experience Ensure services remain within scope and are delivered as structured coaching and guidance (e.g., Supported Education focuses on education/training navigation and supports, not tutoring or remediation). Confirm accessibility needs early and ensure delivery is paced and responsive to physical, mental, cognitive, and sensory needs (communication preference, stamina, technology comfort, attention/anxiety barriers). Coordinate professional interpreting services when needed (e.g., qualified ASL or foreign language) to ensure full client participation. Staff Coordination and Training Support Support recruiting, onboarding, scheduling, and day-to-day coordination of program staff and subcontractors as needed. Reinforce staff workflows and required documentation standards; flag performance issues early and support corrective action. Coordinate service coverage and continuity when staff availability changes. Tutoring Program Oversight (Students with Disabilities) Oversee tutoring operations serving K–college students, including students with disabilities. Ensure tutoring delivery remains consistent, well-documented, and aligned with program expectations, while coordinating supports needed for student accessibility and engagement. Administrative Oversight Approve payroll/timesheets and resolve discrepancies. Maintain SOPs, templates, and shared resources used by staff across programs. Provide weekly status updates to leadership: progress, risks, staffing needs, and key priorities. Required Qualifications Bachelor’s degree (required). 2+ years in program coordination, case coordination, education program operations, human services coordination, or similar. Strong written and verbal communication; ability to write clear, professional documentation and updates. Ability to manage multiple deadlines and stakeholders with minimal oversight. High discretion and confidentiality; professional boundaries are non-negotiable. Comfortable with technology platforms (dashboards, spreadsheets, scheduling tools, portals, video conferencing). Preferred Qualifications Experience with vocational rehabilitation, disability services, education navigation, or employment services. Experience working with individuals with physical, mental health, cognitive, or sensory disabilities. Experience coordinating interpreters or accessibility supports. Strong quality mindset: checklists, documentation audits, corrective actions, and continuous improvement. Background & Work Authorization Requirements Willing to complete a reference check and background check. Must obtain and maintain an Arizona IVP Fingerprint Clearance Card. Location: 2625 E.
