We offer patients convenient access to innovative treatments and advancements that improve the health and overall well-being of our community.ResponsibilitiesThis is entry level secretarial work assigned to departments or areas with moderate scope.An employee in a position allocated to this classification is responsible for performing duties which involve composing correspondence; typing memoranda, reports, and correspondencePayroll, complete personnel requisitions on direction of manager, makes travel arrangements and keeping the supervisor's calendarPrepares and processes documents and recordsAssignments at this level involve relieving the supervisor of minor administrative and/or clerical functions and exercising considerable initiative in carrying out assignmentsWork is performed under general or administrative supervisionOnly projects which entail technical or confidential matters are given close attention by the immediate supervisorReceives and reads incoming mailScreens items which can be handled personally and forwards the rest to supervisor or subordinates together with necessary background materialMaintains control records on incoming correspondence and action documents and follows up on work in progress to ensure timely reply or actionMaintains alphabetical and chronological files and records of office correspondence, documents, reports, and other materialsActs as office receptionistAnswers telephoneGreets, announces, and routes visitorsAssists in expediting the work of the office including such matters as shifting clerical subordinates to take care of fluctuating workloadsAssembles and summarizes information from files and documents in the office or other available sources for the supervisor's use on the basis of general instructions as to the nature of the information neededPerforms all clerical work related to a particular phase of the supervisor's program, maintaining all records, and composing correspondence relative to the programComposes and signs routine correspondence of a non-technical nature in supervisor's nameKeeps supervisor's calendar by scheduling appointments and conferences with or without prior clearanceCompletes all mandatory department, educational and hospital requirementsAdheres to current Infection Control and Safety StandardsRegular and prompt attendanceAbility to work schedule as defined and overtime as requiredRelated duties as assignedAdditional InformationEmployees must be in a regular position, working 20 hours or more per week (.50 FTE or greater) to qualify for benefits.QualificationsHigh School Diploma or equivalent RequiredComparable combination of education and experience may substitute for the above requirements.Equal Employment Opportunity/Affirmative Action EmployerThe University of South Alabama is an Equal Opportunity Employer and does not discriminate on the basis of race, color, national origin, sex, pregnancy, sexual orientation, gender identity, gender expression, religion, age, genetic information, disability, protected veteran status or any other applicable legally protected basis.
