Amigos For Kids moves its mission forward through its education, awareness, and advocacy programs aimed at helping families in under-resourced communities thrive.POSITION SUMMARY:The Events Coordinator will work closely with the Director of Marketing & Events to support the planning and execution of the organization's community events, programs, and marketing initiatives. This role focuses on on-site event logistics, preparation of materials, and capturing content during programs and events, while ensuring that organizational events and activities run smoothly and are executed professionally. The ideal person selected for this position is organized, dependable, and comfortable working in fast-paced event environments.ESSENTIAL FUNCTIONS:Event Logistics and On-Site SupportProvide in-person support for Amigos For Kids events, including setup, breakdown, and day-of logistics.Serve as the on-site point person for events when the Director of Marketing & Events is not present.Coordinate with staff and vendors during events to ensure activities run smoothly.Monitor event spaces and assist in resolving issues during events.Help troubleshoot challenges and support the team in real time during events.Event Preparation and Materials ManagementAssist with event preparation tasks such as packing materials, assembling kits, and organizing supplies prior to events.Handle local pickups and deliveries of event materials, signage, supplies, and sponsor items as needed.Assist with inventory management of event and marketing materials, including organizing, tracking, and restocking supplies.Content Capture and Marketing SupportCapture photos and short videos at events and programs for social media and marketing use.Share photos and videos promptly with the Director of Marketing & Events following each event.Assist with basic social media posting under the guidance of the Director of Marketing & Events.Program and Organizational SupportAttend selected organizational programs and activities to assist with logistics and capture content when needed.Provide general support to the Marketing & Events department during peak event periods.SCHEDULE AND AVAILABILITY:This position requires schedule flexibility and the ability to work some evenings and weekends, particularly during major organizational events. The Events Coordinator must be available to support the following key annual events:Día del Amigo Community Fair - February (Weekend)Amigos Heart & Sole 5K - March (Weekend)Child Abuse Prevention Month Art Contest - April (Evening/Weekend Event)Back-to-School Initiative - July/August (Weekend Event)Amigos Night Annual Fundraiser - November (Evening/Weekend Event)Holiday Toy Drive - December (Weekend Event)Most regular weekly hours will occur in the afternoon, with occasional evening hours depending on event schedules.KNOWLEDGE, SKILLS, AND ABILITIES:Strong organizational skills and attention to detail.Ability to manage multiple tasks and prioritize responsibilities in fast-paced environments.Strong communication and interpersonal skills.Ability to work independently and collaboratively as part of a team.Problem-solving skills and ability to remain calm during live events.Basic familiarity with smartphone photography and video capture.Basic understanding of social media platforms.QUALIFICATIONSHigh school diploma or GED required.Some experience assisting with event logistics or coordination preferred.Ability to work a flexible schedule, including evenings and weekends as needed.Reliable transportation for local pickups and deliveries preferred.PHYSICAL REQUIREMENTSAbility to lift, carry, and transport event materials weighing up to approximately 25-40 pounds.Ability to stand, walk, and move continuously during event setup, execution, and breakdown.Ability to bend, reach, and perform light physical tasks associated with event operations.Ability to work both indoors and outdoors in varying weather conditions.
