The position is designed to remove operational friction from the Executive’s plate while ensuring initiatives, meetings, and commitments move forward with clarity and speed.This individual operates with discretion, judgment, and contextual awareness, enabling the Executive to focus on leadership, alignment, and high-impact decisions.Core ResponsibilitiesExecutive Time Strategy & Calendar OwnershipOwn and strategically manage the Executive’s calendar in alignment with organizational prioritiesEvaluate meeting requests and recommend acceptance, delegation, or deferralProtect focused work blocks and priority windowsEnsure all meetings have clear purpose, agenda, and expected outcomesCoordinate all travel, lodging, dining, and logistical arrangementsPrepare daily and weekly briefings to ensure executive readinessIn-Room Execution & Follow-ThroughAttend key executive meetings to capture decisions, commitments, and next stepsTranslate conversations into structured action items in real timeExecute appropriate follow-up tasks directly when possibleRoute larger initiatives to responsible leaders with clarity and accountabilityTrack executive commitments and ensure timely completionDraft post-meeting summaries and recommended next steps on behalf of the ExecutiveDecision Support & DiscretionProvide recommendations on routine matters where executive intent is clearEvaluate incoming requests and offer suggested responsesProceed independently when actions align with established priorities, existing budgets, and precedentElevate matters appropriately when policy, reputation, or significant financial impact is involvedPrepare decision briefs, background memos, and summary notes to support executive review and decision-makingProject & Initiative CoordinationMaintain an executive initiative tracker for Executive-sponsored projectsDrive cross-functional follow-through on executive-directed prioritiesIdentify bottlenecks and proactively recommend solutionsPrepare memos, briefing documents, reports, and presentation materials for executive useProactively gather information and coordinate with internal stakeholders to ensure the Executive is prepared for meetings and decisionsSupport preparation for key discussions by synthesizing information, identifying open questions, and organizing relevant materialsAid in advancing next steps following meetings by coordinating with teams and stakeholders on behalf of the ExecutiveOffice of the Executive StewardshipManage the Office of the Executive budget, events, and discretionary expensesMaintain documentation integrity across systems (Asana, contracts repository, executive notes)Support planning and execution of executive leadership gatherings and small-scale eventsRepresent the Office of the Executive with professionalism and discretionQualificationsBachelor’s degree preferred5+ years supporting senior executives or leading cross-functional coordinationDemonstrated ability to operate with discretion and independent judgmentStrong written and verbal communication skillsProficiency in project management platforms and presentation toolsExceptional organizational and prioritization skillsHigh emotional intelligence and professional presenceCore CompetenciesStrategic awareness with strong execution disciplineExecutive-level discretion and judgmentProactive problem-solvingClear and concise communicationAdaptability in a dynamic, fast-paced environmentAbility to translate ambiguity into structured actionThis role may be titled Executive Business Partner or Senior Executive Business Partnered based on the competencies and experiences of the candidate.
