Senior Coordinator – Onboarding & PayrollThe ideal Senior Coordinator – Onboarding & Payroll will provide assistance and customer service to our external employees, clients, sales and recruiting teams in a fast-paced environment. This position will require basic knowledge of state leave and payroll laws. This role is an integral part of the onboarding & payroll team. This is a hybrid position and works in-office 2 days each week. General ResponsibilitiesOnboardingPrepare employment agreements and addendums; Communicate all pre-employment screen requirements to candidate, and coordinate external employee orientations, I9s, and other local onboarding requirements. Manage all pre-employment screening processes including background tests, drug tests and other client requirements.Ensure external employees adhere to all pre-employment screening guidelines and complete paperwork prior to a start date. Verify i9 documentation, complete section 2 of the i9 and work through any eVerify validation issues.Support issue resolution with regards to the Onboarding process, including working closely with the recruiting team to communicate required activities needing to be completed, and interacting with the external employee for required follow-ups with a goal of ensuring customer satisfaction and timeliness .Manage the HR records process to ensure onboarding paperwork is completed in a timely manner and all documents are executed accordingly.Ensure accurate and timely entry of candidate data, onboarding process updates, and all other required documentation within the onboarding and database systems.Assignment Life Cycle ManagementManage and document all touchpoints with the candidate during their assignment, responding in a timely manner to all needs. Maintain data integrity across all systems; Ensures all HR, Payroll, Tax information related to external employees is updated and accurately maintained in PeopleSoft; Updates placement and termination information for each candidate in the MLA database as well as uploading all relevant employment documentation.Manage off-boarding requirements and information pertinent to the external employee's assignment completion.Maintain a high level of confidentiality as it relates to candidates and external employees and the information provided to the administrative team.Function as a point of contact in all human resource-related matters for current and former contractors.Timecard Process, Payroll and AuditsPerform collection of timecards and record of time data in the payroll systemMonitor timecards (regular, overtime & benefit hours) and ensure information is captured accurately in the Time & Expense system.Generate reports to identify missing timecard information and/or variances; work with external employees to validate and correct timecards.Communicate with clients to obtain approved timecards and expense documents.Manage time adjustment process , including completion of required documentation by external employee; Update the payroll system and communicate with impacted stakeholdersReview and validate final weekly paychecks to ensure accuracy prior to distribution to a contractor.Generate weekly payroll reports, including Expected Hour Reports and Time & Billing audits; Communicate final hours each week to the appropriate recruiter and finance team members.Execute expense report adjustments in payroll system as neededMaintain a high level of professional communication with Interim Legal Talent clients and external employees and demonstrate professional and ethical conduct.Oversee the resolution of all payroll issues for contractors and escalate all billing issues accordingly.Compliance & Policy KnowledgeAccountable for compliance for their office/s including payroll, invoicing, eVerify, workers compensation, etc.Basic knowledge of employment laws and compliance issues in the state/s they support.Basic knowledge of payroll and paid leave laws in the state/s supported.Basic knowledge of MLA onboarding polices.Minimum Education and/or ExperienceCollege graduate preferredHigh level of customer service related and/or Administrative support experience: 6+ years’ experience or 3+ years’ experience with MLA.Staffing Industry experience preferred, but not required.Payroll experience, especially familiarity with PeopleSoft, preferred.SAP Fieldglass and Sterling knowledge a plus, but not required.Skills/AbilitiesTop notch organizational and prioritization skills.Exceptional interpersonal and communication skills (both oral and written); Ability to interact professionally with executive level clients and candidates as well as colleagues. Self-motivated; Ability to work both independently and within a collaborative, “team-oriented” environment.Strong attention to detail. Very strong Microsoft Office Suite skills: Outlook, Word, Excel, Teams and PowerPoint.
