Dispatch Coordinator
The Dispatch Coordinator is a high-tempo, detail-driven operations role responsible for scheduling and managing all trucking activity at MDM Scaffolding. This position serves as the central communication hub between drivers, yard crew, project teams, and company leadership — ensuring every load goes out correctly, on time, and with complete documentation. Success in this role requires a calm, organized approach under daily pressure and a strong commitment to accuracy and team accountability. Trucking Scheduling & Dispatch Schedule all outbound orders, excess material requests, excess pickups, returns, and straight rental ship and returns. Coordinate with the E&D team on trucking needs and integrate into the daily schedule. Plan routes and load sequences to maximize truck efficiency and minimize unnecessary trips. Excess Pickup Management Maintain a live tracker of all excess pickup requests, clearly identifying what has been completed and what remains pending. Proactively schedule trucking to close out open pickup requests in a timely manner. Driver Paperwork & Compliance Verify that drivers obtain signed paperwork and take required photos for every job, daily. Ensure all documentation is added to the correct Trello card and submitted to each day. Confirm daily truck inspection sheets are completed correctly and turned in; report any vehicle issues to AIC immediately. Trello Board Management Monitor Trello daily to ensure drivers are uploading photos to the correct card and advancing cards to the appropriate stage. Follow up with drivers as needed to maintain board accuracy and timeliness. Daily Schedule Creation & Distribution Build and distribute the daily trucking schedule on time, every day, to the correct recipients via email. Communicate each driver's plan clearly before dispatch, including load details, destinations, and any special instructions. Remain available to answer driver calls and resolve issues that arise in the field. AIC Communication Report all relevant issues to AIC promptly: truck problems, driver absences, scheduling conflicts, job cancellations, and Trello discrepancies. Maintain transparent, real-time communication so leadership is never caught off guard. Sage System Support When needed, assist with daily Sage data entry: entering returns, creating and shipping orders, and printing return paperwork. Truck Loading Oversight Confirm all trucks are loaded on time with the correct materials, loaded safely, and assigned the proper paperwork. Conduct spot checks on loaded trucks before departure. Coordinate with yard crew to ensure efficient unloading and reloading turnarounds. Driver Tools & Equipment Verify that all trucks carry the required tools and equipment at all times. Report any missing or damaged tools to AIC for resolution.Requirements Required Strong organizational skills with the ability to manage multiple priorities simultaneously under time pressure. Clear, professional communication skills — verbal and written — with drivers, crew, and management. Demonstrated attention to detail in documentation, scheduling, and compliance tasks. Effective problem-solving ability; able to resolve logistics issues quickly and independently. Basic knowledge of trucking operations, load safety, and route planning. Basic familiarity with scaffolding materials, terminology, and rental/return workflows. Proficiency with email, digital scheduling tools, and basic data entry software.Preferred Experience with Sage accounting software or similar ERP systems.
