Job Description Hello! Smile Now Reno is seeking a friendly, organized, and detail-oriented DentalAdministrative Assistant to join our specialty dental practice.This position is ideal for someone with prior dental experience who is looking to grow into a leadership role, with the opportunity to advance into an Assistant Manager position and potentially a Practice Manager role over time.We are a growing company and are willing to train the right person who has a great attitude, strong work ethic, and the drive to learn. The Practice Manager needs dependable support and is willing to invest the time to train someone who is committed, coachable, and interested in growing with the practice.The right candidate will be patient-focused, dependable, comfortable working in a fast-paced specialty dental environment, and able to manage patient-facing responsibilities, administrative tasks, and operational support with accuracy and professionalism. Answering incoming phone calls and providing excellent patient communication is a top priority in this role.As a Dental Administrative Assistant, you will support the Practice Manager and Regional Manager with daily administrative operations, patient communication, scheduling, documentation, reporting, and front office workflow. This role requires dental knowledge, excellent organization, and the ability to support both the clinical and administrative teams.ResponsibilitiesGreet, check in, and check out patients with a warm and professional attitudeAnswer multi-line phones, respond to patient inquiries, and manage patient follow-up communication in a timely and professional mannerSchedule patient appointments, treatment visits, post-op visits, and follow-up appointments while helping maintain smooth provider calendars and patient flowMaintain accurate patient records, notes, forms, consents, and account information in Open Dental/FlexSupport the Practice Manager and Regional Manager with daily administrative tasks, reporting, follow-up items, and operational needsAssist with patient account updates, balances, payment collection, and financing-related administrative steps as neededCoordinate closely with clinical staff to help keep the schedule running efficiently and minimize downtimeMonitor daily schedules, identify openings, and assist with filling or adjusting appointments as directedHelp maintain front office systems, workflows, and communication between the administrative and clinical teamsAssist with tracking outstanding tasks, pending forms, patient communications, and internal follow-up itemsSupport leadership with staff communication, problem-solving, and process implementation as training progressesTake initiative, follow through on assigned tasks, and demonstrate a willingness to learn additional management responsibilitiesAssist with other front office and administrative duties as neededQualificationsPrior dental office experience is requiredSpecialty dental, oral surgery, implant, prosthodontic, or full-arch experience is strongly preferredExperience with Open Dental is strongly preferredExperience with scheduling, patient accounts, treatment records, and specialty dental workflowStrong phone skills and the ability to manage incoming calls professionally and efficientlyStrong communication and interpersonal skillsHighly organized with the ability to multitask in a busy specialty practice environmentComfortable learning office systems, reports, and operational workflowsProfessional, reliable, and able to handle sensitive patient information with discretionAbility to follow direction from management while also taking initiative when appropriatePositive attitude, coachability, and willingness to grow into additional responsibilityLeadership potential and interest in developing into an Assistant Manager and potentially Practice Manager roleBilingual Spanish/English is preferred, but not requiredIdeal CandidateOur ideal candidate has dental administrative experience and understands the importance of phone coverage, accurate scheduling, documentation, follow-through, and patient communication.
