Administration Assistant
Job Description
We are seeking a proactive and detail-oriented Administration Assistant to join our Columbus, Ohio team. This hybrid and in-office position supports a medium-sized team with a diverse range of administrative, financial, and operational tasks. The ideal candidate excels in managing accounting duties, vendor relations, meeting coordination, and marketing support with a hands-on approach and strong organizational skills. Experience with QuickBooks Online and Microsoft 365 is essential, along with the ability to handle local errands efficiently. ResponsibilitiesRetrieve and process incoming mail and depositsManage accounts payable and maintain financial records in QuickBooks OnlineFollow up with client accounting teams on outstanding invoicesRecord and distribute meeting minutes; track and follow up on action itemsCoordinate scheduling and calendar managementMonitor sales inbox; respond or escalate inquiries appropriatelyEstimate, order, and invoice client requestsMaintain vendor communication; confirm order details and track shipmentsManage software licenses and assist technical team requestsProcess orders, coordinate with vendors, and manage inventory loggingRequest vendor quotes and prepare client estimates with correct markups and taxesAssist with monthly billing and credit card processingDraft social media content and manage posting schedulesSupport website updates and marketing campaigns including Mailchimp and video supportResearch and onboard new local vendors; handle membership renewalsManage warranty claims and RMA requests Required QualificationsProficient in QuickBooks OnlineReliable transportation for local errands and mail drop-offsExcellent written and verbal communication skillsStrong organizational skills with attention to detailAbility to manage multiple tasks and priorities effectivelySelf-starter with strong initiative and problem-solving capabilitiesExperience with Microsoft 365 Preferred Qualifications1+ years of administrative support experienceAssociate's degree in Business Administration or related fieldExperience in accounts payable and customer serviceProficiency in written and verbal communicationFamiliarity with Mailchimp and social media platformsExposure to the tech industry preferredCompany DescriptionCapCom Technology Solutions, provides IT networking solutions and support.Company DescriptionCapCom Technology Solutions, provides IT networking solutions and support.
