We are an Award-Winning IT Professional Services & Consulting firm HQ in Dallas, nearshore office in Costa Rica and have offshore offices in India.Job Title: VMO Coordinator Location: RemoteType: 6 Months Contract to StartDescription:The Stage-Gate Approval Coordinator is a VMO team member responsible for orchestrating Stage-Gate approvals so initiatives can proceed from one stage to the next with clear decisions, documented evidence, and auditable records. Acting as the central coordination point, this role manages outreach to gate item owners and approvers, compiles approval packages and supporting artifacts, tracks decisions and conditions, and ensures final approvals are recorded in the system of record (ServiceNow).Key Responsibilities:Support Stage-Gate approvals for each initiative and stage, including helping coordinate re-approvals when material changes occur.Partner with gate item owners to confirm inputs, owners, and approvers; help clarify decision rights and required information.Update and maintain a tracker of gate items, target dates, status, decisions, and conditions through closure.Support preparation of approval packages and help ensure supporting artifacts are complete, current, and review-ready.Draft and send approval requests and follow-ups via ServiceNow/email/Teams; coordinate review discussions as needed.Document decisions and conditions using ServiceNow tickets as the primary way to track work and keep records audit-ready (with updates logged in ServiceNow and supporting evidence stored in the project repository).Required Qualifications:Experience supporting cross-functional approvals, governance workflows, and/or stage-gated processes.Strong written communication skills for drafting clear approval requests and capturing decision summaries and conditions (including in ServiceNow tickets).Ability to manage multiple requests in parallel, follow up on dependencies, and meet deadlines with strong attention to detail.Comfort working with structured checklists, evidence packages, and audit-ready documentation (capturing decisions, conditions, and supporting artifacts).Working knowledge of email/Teams and workflow ticketing systems; experience using ServiceNow (or similar) to intake requests, track work, and document outcomes.Strong coordination and stakeholder partnering skills; able to facilitate follow-ups with functional owners and interact professionally with senior approvers.Preferred Qualifications:Experience supporting vendor management, risk review, security/privacy questionnaires, or contract intake artifacts (e.g., Quote, MSA, SOW).Familiarity with governance bodies (e.g., gate committees, functional leadership approvals) and decision outcomes (approve / approve with conditions / reject / defer).Experience building simple trackers and status reporting for leadership.Tools, Inputs, and Records ManagedStage-Gate checklist for the current stage (required/optional items).Approval package (slides or memo) and supporting evidence artifacts per gate item.Thanks
