At our core, we’re a company that believes we can always create a better way.GENERAL PURPOSE OF JOBThe primary role of the Associate Project Manager Client Services is for direct client contact and overall coordination of the client’s visual merchandising projects, as assigned by the Client Services Supervisor. The Associate Project Manager Client Services will be in continual communication with the client through email, phone and in-person conversations to understand all details of their projects. He/she should have the ability to thoroughly communicate the details of a project to the various service departments of Quad to provide the lowest and most accurate pricing available.Key ResponsibilitiesResponsible for day-to-day tactical execution of visual merchandising print projects and tactical communication with the clientAssist in trafficking projects between Client Service, production and client cross-functional partners to seek proper approvalsDevelop and manage project timelines and tasks listAssume responsibility over basic administrative duties for each projectCoordinate and work on multiple projects simultaneouslyCollect project specifications from the client and accurately communicate those specifications to internal and external departments Review all estimates received from internal departments for accuracy Keep supervisor aware of project status on a weekly basis Quickly learn how to use internal project tracking software to ensure that all internal parties and the client are meeting schedule dates Communicate with internal and external stakeholdersAttend meetings as directed by the Client Services SupervisorAssist in any other project assignments as approved through the Client Services SupervisorWork with all support departments to execute the duties and requests of the Client Services team on behalf of their client’s objectives and support other agency activities on an as-needed basisDisplay positivity in all engagements with others (at all levels), demonstrating Quad culture and valuesIdentify process challenges and work with internal leadership to solve Manage relationships with client-designated print vendors; including quote requests, project status meetings, tracking and invoice managementFollow up with client-designated print vendors to ensure shipments reach stores and warehouse as contractedObtain estimate approvals from authorized Ulta stakeholders prior to commencing ordersManage inventory replenishment and reporting, including generation of reprint orders and removal of obsolete items; ensuring metadata is accurate for store orderingPartner with client stakeholders to create, maintain and optimize production grids based on specifications, requirements and standards as defined by the clientFollow up with brand partners on past due artwork and samplesInvestigate and resolve store support tickets in ServiceNow (ticketing system for field support)Partner with client category owners to assist in Graphic Library management and maintenanceConduct annual inventory analysis to ensure only active graphics are live at the warehouseOther duties as assigned by Quad leadershipJob RequirementsAppropriate education and/or experience may be substituted on an equivalent basisEducation: Bachelor’s degree in advertising, communication, marketing or related field required.Experience: Minimum 1-2 years’ experience in account or project coordination preferredKnowledge, Skills & AbilitiesMust be computer literate with proficiency with MS Word, Excel, PowerPoint, Outlook and the ability to learn new computer systemsAbility to speak, read and write in the English language Strong verbal and written communication skillsAbility to learn proprietary softwareUnderstanding of retail structure and operationsKnowledge of print and in-store marketing Strong organizational skills with attention to detailEffective time-management and prioritization skillsDesire to accept mentoring and guidance in an effort to grow skill setFamiliarity with Monday.com, CrossCap, ServiceNow, Workfront and PowerBI preferredEmployees can be expected to be paid an annualized salary range of $50,000-$75,000, based on variations in knowledge, skills, experience and market conditions.We offer comprehensive benefits for eligible employees including medical, prescription, dental and vision insurance, 401(k) retirement savings, paid time off, holidays and additional benefits.Quad is proud to be an equal opportunity employer.
