We are seeking a highly organized and proactive Senior Administrative Assistant to provide advanced support to senior leadership (Director level and above). This role requires strong judgment, attention to detail, and the ability to manage multiple priorities in a fast-paced, global environment. The ideal candidate is experienced in handling confidential information, coordinating complex logistics, and driving administrative efficiency.
Key Responsibilities
Provide advanced administrative support to a Director, Sr. Director, or above
Manage complex calendars for multiple senior leaders, prioritizing schedules and optimizing time management
Prepare and edit correspondence, reports, spreadsheets, and presentations with strong attention to detail and accuracy
Coordinate domestic and international travel, including flights, accommodations, transportation, visas, and expense reconciliation
Support daily office operations including purchase orders (iProc), PCard transactions, expense reports, and vendor coordination
Act as a point of contact for internal and external communications, including screening and responding to emails
Organize and coordinate meetings, events, conferences, and team-building activities, including those involving external stakeholders
Maintain files, office supplies, and administrative systems
Identify opportunities to improve processes and implement solutions that enhance efficiency
Provide guidance to team members on company policies and procedures
Qualifications
Bachelor’s degree
OR
Associate’s degree and 2+ years of Administrative Assistant or related experience
OR
High School Diploma (or equivalent) and 4+ years of Administrative Assistant or related experience
Preferred Qualifications
Experience supporting Director-level leadership or higher
Experience working in a global, matrixed organization
Skills & Competencies
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Experience with collaboration tools such as SharePoint, Microsoft Teams, and OneDrive
Strong organizational, multitasking, xywuqvp and prioritization skills
Excellent verbal and written communication skills
Ability to handle confidential information with discretion
Strong problem-solving skills and ability to work independently with minimal supervision
Professional presence with the ability to interact effectively with senior leadership
