HRIS & Compliance Reporting SpecialistNon-ExemptSummaryThe HRIS & Compliance Reporting Specialist supports the accuracy, integrity, and daily operation of the company's HR systems, employee data, benefits and compliance reporting, HR records, and related administrative workflows. This position serves as a key HR operations resource responsible for maintaining accurate employee information in Dayforce and related systems, supporting required reporting obligations, assisting with audits, maintaining HR records and system workflows, and providing day-to-day support to HR, payroll, benefits, Legal, and operations leaders.This role is critical to ensuring employee data is accurate, confidential, complete, and available for payroll, benefits administration, compliance filings, employee lifecycle transactions, medical, dental, and nondiscrimination testing (NDT) reporting, legal requests, audits, and business operations. The position also supports HR process consistency by maintaining system data, troubleshooting user and workflow issues, preparing recurring and ad hoc reports, supporting HUB content and HR communications, and assisting with administrative projects that impact multiple dealerships, departments, and shared services functions.Essential FunctionsHRIS / Dayforce AdministrationMaintain employee data in Dayforce and related HR systems, including new hires, rehires, transfers, promotions, terminations, status changes, manager changes, department changes, job changes, compensation updates, and other employee lifecycle transactions.Serve as a Dayforce superuser and primary HR point of contact for system questions, data issues, workflow concerns, reporting needs, and HRIS troubleshooting.Support HR, payroll, benefits, and management users with Dayforce navigation, employee record updates, reporting access, workflow status, and system-related questions.Coordinate with HR, payroll, benefits, IT, and vendors to research and resolve HRIS issues impacting employee records, payroll processing, benefits eligibility, timekeeping, reporting, or compliance data.Assist with Dayforce updates, system testing, new feature testing, workflow changes, configuration review, and process improvement projects.Maintain supervisor relationships, department structures, job titles, locations, employment statuses, and other organizational data needed for accurate reporting and workflow routing.Monitor HRIS data for errors, incomplete records, duplicate entries, missing fields, and inconsistencies that could impact payroll, benefits, compliance filings, legal requests, or employee records.Employee Data Integrity and Records ManagementMaintain accurate and confidential employee records in accordance with company policy and applicable recordkeeping requirements.Support employee file maintenance, document uploads, file audits, archiving, retrieval, and record organization.Review employee data and records for completeness, accuracy, and consistency.Assist with records related to onboarding, job changes, leaves of absence, terminations, benefits, payroll changes, and other employment actions.Maintain employee records in a manner that allows timely retrieval of personnel documents, HRIS records, acknowledgments, employment history, status changes, and related information when requested by HR leadership, Legal, payroll, benefits, or other authorized business partners.Maintain confidentiality of sensitive employee information, including compensation, benefits, leave, medical, disciplinary, and personally identifiable information.Reporting, Benefits Reporting, and Compliance SupportOwn and prepare recurring HR, benefits, and compliance reports, including medical reporting, dental reporting, NDT/nondiscrimination testing reporting, ACA/1095-C support, EEO-related reporting, benefit census reporting, eligibility reporting, and other required internal or external reports.Compile, validate, and reconcile employee data used for medical, dental, benefits, carrier/vendor, broker, renewal, open enrollment, census, and NDT reporting requirements.Prepare employee census files, eligibility files, enrollment reports, dependent or coverage-related data, payroll deduction support data, benefit audit materials, and related benefit reporting deliverables.Review reporting data for accuracy before distribution, including employment status, eligibility status, hire dates, termination dates, job titles, departments, locations, compensation fields, hours, and other data elements used for reporting and compliance purposes.Research and resolve reporting discrepancies by comparing Dayforce data, payroll data, benefits data, employee records, and other available documentation.Maintain recurring report schedules, report templates, reporting instructions, backup documentation, and tracking tools to ensure reporting deadlines are met consistently.Generate recurring and ad hoc HR reports for HR leadership, payroll, benefits, finance, operations, Legal, and management.Prepare reports related to headcount, employment status, benefit eligibility, leaves, job codes, departments, pay changes, employment dates, employee lifecycle changes, and other HR operational needs.Assist with data requests for budgeting, organizational planning, payroll review, benefit renewals, compliance filings, dealership operations, and leadership reporting.Partner with HR leadership to identify data gaps, missing information, or process issues that may create compliance, payroll, benefits, legal, or reporting risk.Legal, Audit, and Document Request SupportAssist Legal and HR leadership by preparing employee information, personnel data, employment records, timelines, reports, and related documentation for legal review, internal investigations, administrative claims, litigation support, audits, or other employment-related matters.Pull, retrieve, compile, organize, and provide employee documents and HR records at Legal's request, including personnel file materials, acknowledgments, HRIS records, status history, pay history, job information, reporting data, policy acknowledgments, and related employment records.Assist Legal with requested items by gathering documents, preparing employee data, organizing exhibits or supporting materials, and coordinating follow-up information needed for attorney requests, agency responses, subpoenas, demand letters, employee relations reviews, or other legal/compliance matters.Provide data and documentation support for HR compliance reviews, legal requests, employee relations matters, workers' compensation inquiries, benefits audits, payroll audits, and other administrative reviews.Track and organize legal, audit, and compliance-related document requests to ensure timely completion, proper documentation, and appropriate confidentiality controls.Maintain confidentiality and appropriate access controls when handling sensitive employee information, legal requests, personnel records, medical information, payroll data, or other confidential employment records.Benefits, Payroll, and Timekeeping SupportSupport HRIS data accuracy related to payroll, benefits, timekeeping, employment status, job classification, location, department, supervisor, and compensation information.Assist with employee data needed for medical, dental, and other benefit enrollments, benefit eligibility, carrier/vendor file feeds, broker requests, open enrollment preparation, census reporting, NDT reporting, and benefit audits.Partner with payroll and benefits teams to research employee data discrepancies, status issues, missing information, file feed concerns, deduction issues, eligibility questions, or system errors.Assist with HRIS updates related to leaves of absence, return-to-work status, employment changes, and other actions that may affect payroll, benefits, reporting, or employee records.Support data review processes before payroll, benefits, compliance, legal, audit, or reporting deadlines.HUB / HR Communications and System ContentMaintain HR-related HUB content, resources, forms, announcements, documents, and employee-facing information as assigned.Assist with updates to HR forms, policy acknowledgments, process guides, employee resources, and internal HR communications.Coordinate with HR leadership, IT, and other stakeholders to ensure HUB information remains current, accurate, and accessible.Support employee and manager self-service resources by maintaining instructions, forms, links, and HR reference materials.Process Improvement and HR Operations SupportIdentify opportunities to improve HRIS workflows, data entry processes, employee recordkeeping, reporting processes, and administrative procedures.Document recurring HRIS, benefits reporting, compliance reporting, and administrative processes to improve consistency, backup coverage, and cross-training.Assist with training HR staff and system users on Dayforce processes, reporting steps, employee record updates, workflow procedures, and document retrieval processes.Provide administrative support for HR projects, system updates, audits, open enrollment, compliance initiatives, legal requests, and operational process changes.Serve as a resource to HR team members by helping resolve data, system, reporting, records, and document-related issues that would otherwise delay payroll, benefits, compliance, legal, or employee support processes.Other DutiesMaintain satisfactory attendance and punctuality.Perform other duties as assigned.Supervisory ResponsibilitiesThis position has no direct supervisory responsibilities.
