This engagement is primarily operational and financial in scope: you will manage budget reconciliation, headcount planning, contractor oversight, and vendor relationships — and step in as an embedded program manager on cross-functional initiatives as needed.What You'll Own:Financial & Resource OperationsDevelop and maintain clear budget guidelines and approval frameworks for discretionary spending — including training, certifications, industry conferences, team events, and travel — ensuring every team member understands what requires pre-approval, what thresholds apply, and who the decision-maker is at each level.Execute monthly budget reconciliation, tracking spend against the annual plan and reallocating funds to address emerging priorities — including mid-year regulatory events — and escalating to the Director or VP for approval as needed.Lead headcount planning by analyzing workload data to determine the right mix of privacy operational staff and privacy attorneys as team needs evolve.Oversee contractor selection, onboarding, and performance management to ensure effective resource utilization aligned with privacy and data security objectives.Manage relationships and spend for industry memberships, outside counsel, and third-party privacy software — ensuring the company avoids redundant licenses and optimizes vendor value.Regularly assess team structure, workload distribution, and budget allocation to maximize efficiency, ensuring the right skills and resources are in place for current and future priorities.Partner with EX (HR) and Finance on headcount, compensation planning, and budget processes.Program & Project SupportServe as an embedded program manager for high-priority Privacy & Data Security initiatives as needed — stepping in to provide structure, accountability, and momentum on projects that cut across team workstreams or lack a dedicated owner.Support the scoping, planning, and tracking of cross-functional projects where Privacy & Data Security is a key stakeholder — ensuring the team's commitments are realistic, well-documented, and delivered on time.Maintain a working awareness of the team's full project portfolio so that operational decisions — headcount, budget reallocation, contractor engagement — are made with an accurate picture of what the team is carrying at any given time.Partner with Program Management Office Leadership to flag dependencies, resource conflicts, or sequencing issues that could affect team-wide delivery.Step into project lead capacity during periods of team transition, resource gaps, or elevated regulatory activity.What We're Looking For4+ years of program or operations management experience, with demonstrated ownership of financial functions — ideally within a legal, privacy, compliance, or similarly complex organizational context.Strong financial acumen: comfortable with budget reconciliation, headcount modeling, and vendor management at scale.Proven ability to operate independently — you identify what needs to happen, build the plan, and drive it without requiring ongoing direction.Excellent communication skills; able to write a crisp executive update and escalate the right things at the right time.Comfortable operating with ambiguity and managing multiple workstreams simultaneously.Collaborative by default — you build relationships across functions and know when to lead, when to partner, and when to follow.
