POSITION DESCRIPTION:The Clerkship Coordinator at the Orlando College of Osteopathic Medicine (OCOM) is an academic administrative role within the Office for Clinical Education that supports the coordination of third- and fourth-year medical student clinical rotations (clerkships). This position works closely with students, faculty, and clinical training sites to manage scheduling, compliance, evaluations, and exam administration related to the clinical education curriculum. This position is responsible for effectively managing all assigned processes for third- and fourth-year medical students under the direction of the Office for Clinical Education. The Clerkship Coordinator must demonstrate strong interpersonal skills to work successfully with diverse individuals and partner organizations.This is a non-clinical administrative position and does not involve patient care or laboratory research.START DATE: IMMEDIATEOCOM MISSION:The mission of the Orlando College of Osteopathic Medicine is to train caring and competent osteopathic physicians who will have an impact on the Central Florida community, our nation, and our global community.SPECIFIC RESPONSIBILITIES:Coordinate all administrative aspects of third- and fourth-year clerkships, ensuring compliance with OCOM policies, accreditation standards, and clinical education requirementsServe as a primary point of contact for medical students regarding schedules, site assignments, rotation requirements, evaluations, and general inquiries of third- and fourth-year clerkshipsAssist with creating, updating, and maintaining clinical rotation schedules; track availability of clinical sites and preceptors; and ensure accurate placement of studentsMaintain communication with clinical training sites, hospital partners, and preceptors to confirm rotation details, onboarding requirements, and student assignmentsMonitor and track student completion of site-specific onboarding requirements, credentialing materials, background checks, immunization compliance, and training modulesDistribute, track, and collect student, preceptor, and site evaluations; ensure timely submission and routing for grading and reviewCoordinate and proctor exams (COMAT), ensuring adherence to NBOME and institutional testing protocolsMaintain accurate records of student performance, rotation documentation, preceptor information, and site-specific requirements in the Learning Management System (LMS)Assist in gathering, organizing, and reporting data required for accreditation reviews, site visits, and institutional auditsSupport resolution of student or site concerns related to scheduling, professionalism, rotation quality, or compliance issuesAssist in identifying areas to improve clerkship processes, workflows, and communication; participate in process redesign and implementationWork closely with Regional Site Directors, Clinical Faculty, the Office for Clinical Education leadership, and other academic departments to support smooth clerkship operationsSupport preparation and delivery of clerkship orientations, training sessions, and academic meetings related to clinical educationRepresent the Office for Clinical Education with professionalism in all interactions with students, hospital partners, faculty, and staffManage clerkship course materials, syllabi, assessments, and evaluation workflows within the Learning Management System (LMS), ensuring accuracy, accessibility, and timely updatesAssist in planning, coordinating, implementing, and facilitating virtual meetings, trainings, orientations, and other departmental events to support operational efficiency and uphold department standardsSUPERVISORY RESPONSIBILITIES:NONERequirementsQUALIFICATIONS(S):An Associates or Bachelors degree from an accredited college or university is requiredPrevious experience in customer service is preferredExperience in a higher education or non-profit sector is preferredCompetency in use of Apple computer orientated productsProficient with Google Workspace and Apple/MAC IOS computer products and programsExcellent basic mathematic skills, calculations, data collection, graphsExcellent personal communication skills, including writing, and speakingMust be detailed orientated, time sensitive, responsible, and self-motivatedKEY COMPETENCIES:Leadership abilitiesStrong interpersonal skills and enthusiasm to contribute to staff and faculty growth and developmentStrong team & team management skillsStrong oral and written communication skillsExcellent public speaking skillsPHYSICAL REQUIREMENTS:Prolonged periods sitting at a desk and working on a computerMust be able to lift and carry up to 25 pounds at a timeMust be available to travel throughout Florida and nationwide travel as needed.
