REPORTS TO: Program Manager
PURPOSE: Assists the Program Manager in all areas related to office management and human resources. Provides overall quality assurance to the facility staff training program to ensure that all staff are current with all company and licensing training requirements.
ESSENTIAL DUTIES AND RESPONSBILITIES:
1. Maintains personnel records and files and other applicable facility files in accordance with corporate, state, and federal regulations. Responsible for auditing personnel files to ensure compliance, organization and keeping the files up to date.
2. Request the posting of open positions from the DSC. Responsible for creating ads for open positions to post in newspapers, websites, or online apps.
3. Screens prospective employees to help determine eligibility for employment.
4. Conducts new hire orientation and processes new hire paperwork for pay and benefits using Payroll system.
5. Administers bi-weekly functions to include calculation of hours and submission of payroll data to the DSC. Monitor and correct timeclock in/out for accuracy. Reviews required payroll register reports to ensure that all staff receive correct pay.
6. Ensure employees are enrolled in benefit programs with payroll system. Provide information to employees regarding benefit programs including questions as they arise working with DSC in resolving individual employee problems related to benefits.
7. Coordinates paperwork with DSC for the administration of FMLA and leaves of absence. Processes Worker’s Compensation claims to ensure compliance with state and federal laws.
8. Ensure employees are set up and trained to use the payroll self-service web site to maintain their personal information, enroll in benefits, request time off, and view/print pay vouchers as requested.
9. Assimilate and ensure compliance with staff training requirements outlined by Cornerstone, state and federal licensing agencies.
10. Track all staff training through approved training management software and maintain all individual staff training files.
11. Create and complete a semi-annual survey to both staff and management regarding training needs, and accomplishments, providing a “Training Assessment” report to management.
12. Provide monthly updates of training requirements and required clearances to the Program Manager and coordinate attendance training schedules as well as keep supervisors aware of training shortfalls.
13. Maintain a training library for the use of trainers, managers and staff which contains all lesson plans, supporting documents and handouts.
14. Coordinate with DSC for issues related to human resources and accounts management.
15. Process reimbursement through payroll system.
16. Maintain client census and files in accordance with corporate, state, and federal regulations.
17. Filing for client and Personnel files
18. Process vendor invoices to DSC for approval and payment timely.
19. Process monthly Petty Cash, Imprest and Credit Card purchases to DSC for payments.
20. Maintain and order office supplies for Program.
SECONDARY FUNCTIONS:
Provides phone, mail, message and clerical support for the program staff.
Maintains office supplies through direct purchases with local vendors.
Acts as the initial point of contact for visitors to the program offices.
Follows all required safety protocols while on the job.
Performs other duties as assigned.

EDUCATION AND EXPERIENCE:
High school or equivalent required. Two (2) years of college with an emphasis on Human Resources and one (1) year of related experience preferred. Knowledge of State and Federal employment laws preferred.
PHYSICAL REQUIREMENTS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position. The ability to alternate between walking, sitting and standing as work is performed in an office environment. This position is not a remote position.

The ability to hear, understand and distinguish speech and/or other sounds via in person, telephone, or communicate during virtual meetings. Repetitive motion: Substantial repetitive movements (motions) of the wrists, hands, and/or fingers. Typing, entering text or data into a computer or other machine by means of traditional keyboard. Applying pressure with the fingers and palm is required. Required to have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading, primarily on a computer monitor. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.ort.
Pay: $20.00 - $21.00 per hour
