Estate Planning & Business Planning Legal Assistant/ParalegalLas Vegas, NVThe RoleWe are seeking a motivated Estate Planning & Business Planning Paralegal / Legal Assistant to support our attorneys and firm operations. This role involves preparing and coordinating estate planning documents, managing client communications, maintaining records, and providing administrative support to attorneys and the Office Manager.What You'll DoHandle extensive client contact, including calls, questions, and inquiries, and route issues appropriately with professionalism and courtesyFollow up with clients on missing or outstanding drafting itemsGather, review, and organize data regarding clients' beneficiaries, trustees, agents, and other representativesInput client data into document creation software and prepare/proof initial drafts of estate planning documents for attorney reviewRevise documents as necessary after attorney editsPrepare client flow chartsServe as Witness / Notary Public as requiredMaintain work-in-progress spreadsheets and track correspondence related to the estate planning process with clients, advisors, and financial institutionsProvide original documents to clients and/or successor trusteesCoordinate and prepare all out-of-office or out-of-state signingsProvide support to Estate Administration, Business Planning, Client Care, and Client Services teams as neededParticipate in ongoing technical training and professional skills developmentTroubleshoot drafting-related issues encountered by staffMaintain and update document production forms, procedures, and systemsAssist in training new attorneys and staff members on internal firm systemsComplete all other projects assigned by attorneys and Office ManagerJob SkillsUnderstanding of general office procedures, practices, and basic office equipmentProficiency with Windows-based computer systems, including MS Word, MS Excel, Outlook, and Internet researchAbility to manage multiple calendars and schedulesExperience with legal database/client management software preferred but not requiredStrong multi-tasking, prioritization, and organizational skillsExceptional verbal and written communication skillsHigh level of accuracy and attention to detail; capable of extensive close workKeyboarding ability of 40–50 wpmAbility to manage a multi-line phone systemEducation and/or ExperienceMinimum 2–3 years practical experience drafting estate planning documents, including wills, trusts, and powers of attorney, or experience in probate, estate, and trust administrationMinimum B.S./B.A. degree, or Associate's degree with legal assistant/paralegal certificationAttitude / Interpersonal SkillsDemonstrates exceptional business courtesyFriendly, professional, and client-focusedExperienced in required skill set or trainableLoyal to the firmStrong work ethic, punctual, and detail-orientedConfident with numbers and spreadsheetsTeam player, dependable, and reliableSelf-motivated, goal-oriented, and enthusiasticOpen-minded to new systems and processesContributing to firm improvementMaintains a professional image and office environmentFlexible, helpful, and accountable for job performanceBenefits401K retirement planVacation timeHealth benefits paid by the firm (excluding vision)Annual bonus opportunitiesEqual Opportunity Employer:Stone Bybee & Associates PLLC is an equal opportunity employer.
