We commit to those areas where we believe we can truly change the course of medicine and bring bold new ideas to life.As an Administrative Coordinator, you will play a pivotal role in providing proactive, high-quality, and value-added support to the Head of Brand Strategy, their respective team, and key cross-functional partners as needed. In addition to delivering strong executive and team administrative support, this role will also be expected to provide project management support to help drive team priorities, support strategic planning efforts, and enable effective tactical execution across key initiatives.This role requires someone who can operate effectively in a fast-paced, dynamic environment, using sound judgment, initiative, and strong organizational skills to manage multiple priorities. The successful candidate will help ensure seamless coordination of business activities, facilitate effective communication across stakeholders, and support the planning, tracking, and execution of projects that are critical to the Brand Strategy organization and its partners.Responsibilities / Duties:Executive and team support: Provide direct, proactive administrative support to the Head of Brand Strategy and support to their team members, as required.Calendar and meeting management: Proactively manage diary and event activities, including calendars, scheduling, room bookings, and distribution lists.Meeting and event coordination: Lead and coordinate logistics for virtual and in-person meetings, including internal team meetings, leadership sessions, and cross-functional engagements.Presentation and material development: As asked, prepare, format, and coordinate presentation materials, meeting agendas, and supporting documents for leadership and team meetings.Travel and expense management: As asked, provide senior-level 1:1 administrative support, including complex calendar management, travel bookings, visa coordination, and expense management.Project management support: Support the Head of Brand Strategy, their team, and cross-functional partners with project management needs, including coordinating timelines, tracking deliverables, following up on action items, maintaining project plans, and helping ensure key milestones are met.Strategic and tactical execution support: Help enable the successful execution of team priorities by supporting planning activities, coordinating across stakeholders, and ensuring alignment between strategic objectives and day-to-day operational execution.Cross-functional coordination: Partner effectively with cross-functional stakeholders to support planning, communication, meeting follow-up, and execution of initiatives that span multiple teams.Issue resolution and prioritization: Independently and proactively resolve issues and challenges related to administrative and project coordination requests, escalating when appropriate.Communication facilitation: Facilitate smooth communication between the executive, their team, and internal and external stakeholders.Internal and external meeting support: Lead practical arrangements and contribute to the preparation and follow-up of internal and external meetings, including documenting actions and tracking next steps where appropriate.Operational support: Manage starter, mover, and leaver processes for applicable leadership direct reports and support broader team operations as needed.Continuous improvement: Participate in and contribute to administrative and operational continuous improvement activities, including identifying opportunities to enhance team processes, coordination, and effectiveness.Team collaboration and coverage: Provide coverage for other administrative colleagues during periods of absence and support urgent matters within the relevant time zone. Knowledge sharing: Participate in and contribute to knowledge sharing, team training, and best practice development across the administrative support network.Essential for the role:2-3 years of administrative experience supporting senior executives or above.Demonstrated experience providing support in a fast-paced, matrixed, and global business environment.Proven ability to balance strong administrative support with project coordination or project management support responsibilities.Interest in potentially learning AIBachelors degree requiredStrong organizational skills with the ability to manage multiple priorities, deadlines, and stakeholders simultaneously.Demonstrated ability to work effectively across cross-functional teams and support both strategic planning and tactical execution.Intermediate to advanced PC skills, including Microsoft Office and other relevant business applications such as SharePoint, Zoom, and Microsoft Teams.Ability to prioritize time-sensitive assignments and exercise sound judgment in a dynamic environment.Ability to work autonomously while also collaborating effectively with other members of the administrative support team and business partners.Flexibility to adapt to changing business needs, priorities, and deadlines.Strong attention to detail and the ability to maintain confidentiality and discretion at all times.Strong communication, tact, persuasion, and stakeholder coordination skills.
