Position Purpose
The Data Manager performs a variety of complex technical and computer support functions for the student information system (PowerSchool) at an assigned school. The role involves file maintenance, word processing, spreadsheets, and data entry to support school operations. Responsibilities include creating federal, state, and local electronic files, managing attendance and grade data, troubleshooting software issues, and maintaining secure backups on flash drives.
Minimum Qualifications
Knowledge, Skills, and Abilities
Considerable knowledge of the operations of the school.
Working knowledge of computer technology, operations, and peripheral equipment.
General knowledge of common word processing, spreadsheet, and file maintenance programs.
Considerable knowledge of computer related operations associated with the student information management system (PowerSchool) and the electronic gradebook programs used by the district.
Ability to troubleshoot common hardware and software problems.
Ability to perform routine maintenance on computer equipment.
General knowledge of the principles of organization and administration.
Considerable knowledge of the student information maintained at the school site.
Ability to transcribe information and prepare standardized forms, letters, and reports.
Ability to operate common office machines.
Ability to sort and distribute documents.
Ability to maintain complete and accurate records and develop standard reports.
Ability to respond to questions based on considerable knowledge of the PowerSchool system.
Ability to understand and follow oral and written instructions.
Ability to type accurately at a moderate rate of speed.
Ability to establish and maintain effective working relationships as required by assignments.
Ability to communicate effectively with Central Services representatives, school personnel, students, and parents/guardians.
Other responsibilities/duties assigned by the principal.
Education, Training, and Experience
Graduation from high school.
Minimum of three (3) years of experience in an automated office or systems environment.
Any equivalent combination of training and experience that provides the required knowledge, skills and abilities.
Certification and License Requirements
Must possess a valid driver's license issued by the NC Department of Motor Vehicles.
Preferred Qualifications
Associate's degree, technical degree, or higher from an accredited institution majoring in a computer related field or administrative office support.
Minimum of one (1) year experience in data management or the equivalent experience with a computer system that requires knowledge of editing and completing source data.
Able to obtain a North Carolina Class A or Class B Commercial Driver's License with school bus certification and P&S endorsements.
Essential Duties and Responsibilities
Utilize the computerized student information system (PowerSchool) and related programs to enter, store, and retrieve information.
Prepare and maintain computer records of daily student attendance, review late arrival forms, and reconcile absences to create "tardy" lists.
Review check-out forms and reconcile absences to create "early leave" lists.
Enter codes into files to indicate individual students' excuses for absences.
Prepare correspondence to students' parents/guardians to advise of excessive absences according to established policies.
Prepare attendance reports and reconcile manual and computer reports monthly.
Maintain a database of student enrollment, recording details such as name, address, guardians, gender, race, immunization, class schedule, grades, bus assignment, lunch period, medical needs, and emergency contacts.
Produce periodic statistical reports based on incident information recorded in PowerSchool.
Record student withdrawals and associated reasons, and facilitate transfer of student information between schools.
Prepare master schedules showing courses, classrooms, times, teachers, and related information.
Produce student schedules and update changes and corrections.
Assist in advanced scheduling, ensuring accuracy, resolving conflicts, and identifying additional staffing needs.
Maintain other computer databases related to student records, activities, and demographic information.
Provide training and information assistance to school staff on the use of the student information system and data application.
Compare data against legacy systems and resolve discrepancies with external officials.
Troubleshoot hardware and software problems, determine causes, apply corrective steps, and devise remedies for deficiencies.
Select data from varied sources, summarize information for standard reports, and submit reports to administrators and regulatory bodies in a timely manner.
Design formats for data display, check reports for accuracy, and maintain accurate backups on flash drives or other secure storage.
Perform routine computer maintenance, such as replacing paper, toner, ribbons, and cleaning equipment.
Serve on school or system committees, attend meetings, and participate in related activities.
Attend seminars, conferences, workshops, and classes to enhance knowledge of database management and student information systems.
Perform other responsibilities or duties as assigned by the principal or assistant principal.

Work is considered light physical work requiring the exertion of up to 20 pounds of force.
Work Environment
Employees will work indoors and outdoors, in contact with staff, students, and the public.
