The Receptionist will also perform various administrative support duties and clerical operations of the firm. The incumbent reports directly to the Office Manager with a dotted line reporting to the Intake Manager and acts under their direction.Essential Duties/Responsibilities:Welcome clients and visitors by greeting them, in person or on the telephoneAlert firm personnel of visitor arrivalsAssist potential clients by screening inquiry type and routing calls to appropriate legal team on a multi-line phone systemMaintain reception area cleanliness and monitor potential security risksAssemble and stamp mailers by specific deadlineSet up boardroom meeting space and provide refreshments to guestsDistribute and oversee incoming and outgoing mailComplete clerical and other duties as requestedConduct client satisfaction surveysDaily administrative tasks including, but not limited to, filing, scanning, and managing schedules.Regular, consistent, punctual attendanceOther duties as assignedRequired Skills/Abilities:Excellent clerical and general office administration tasksExcellent written and verbal communication skills; as well as organizational and time management skills.High command of English grammar, usage, punctuation and spellingHighly Proficient in Microsoft Office Suite or similar software and computer knowledgeStrong attention to detailAbility to meet timelines, maintain professional demeanor and adapt to changing priorities efficientlyEstablish and maintain effective work relationshipsCoordination to operate standard office equipment (computer, phone, printers, scanners etc.)Exceptional interpersonal and customers service skillsPatience and professionalism in dealing with difficult visitors and clientsEducation and Experience:Minimum of High School Diploma or GED requiredMust be able to type 45 wpm accuratelyNo Supervisory responsibilitiesThis is a full-time in office position, standard hours Monday - Friday 40 hours per week.
