Office Support Specialist Bilingual Required
Office Support SpecialistCatawba County Public Health is recruiting a professional, customer-focused Office Support Specialist to serve as the primary front desk receptionist and switchboard operator for our agency. This vital role serves as the first point of contact for patients, visitors, and community partners, ensuring a welcoming, efficient, and well-coordinated front office environment. The Office Support Specialist supports multiple clinic areas by handling high-volume calls, directing visitors, registering patients, processing payments, and maintaining accurate records across several electronic systems.
Qualified candidates must be fluent in English and Spanish. Bilingual extra duty pay is provided.
ResponsibilitiesGreet patients and visitors as the first point of contact; direct individuals to appropriate clinic areas, meeting rooms, or partner agencies; unlock and lock front entrance doors daily
Assist in securing interpreters for visitors, including hearing impaired and non-English-speaking clients
Manage the main switchboard, route calls appropriately, and provide accurate information regarding Public Health services and community resources
Register patients and update demographics in electronic systems (CureMD, NCIR, Medicaid, Medicare, NCTracks, Palmetto)
Provide back-up support for the Immunization Clinic check-in, including walk-in appointments, appointment scheduling, and payment collection
Collect payments for services (in-person and over-the-phone), issue receipts, and maintain and audit daily petty cash funds
Process immunization records requests and assist with Release of Information forms
Schedule meeting rooms and maintain daily room schedules
Coordinate delivery notifications from the loading dock and notify appropriate staff
Assists in maintaining the front lobby
QualificationsBachelor's degree in any field and bilingual fluency in English and Spanish; OR
Associate's degree in Business Administration or related field, and bilingual fluency in English and Spanish; OR
High school diploma or GED equivalent, 1 year of office/clerical experience, and bilingual fluency in English and Spanish
Additional RequirementsProficiency in Microsoft Word, Excel, and electronic medical/records systems
Strong customer service, communication, and interpersonal skills
Ability to learn and retain knowledge of multiple clinics, services, and community resources
Excellent organizational, multitasking, and problem-solving abilities
Ability to work independently at the reception desk with minimal supervision
High level of accuracy and attention to detail in data entry and financial transactions
Commitment to maintaining confidentiality and HIPAA compliance
This is considered light work, lifting up to 20 pounds frequently, which could include supplies, files, records, etc.
