Position: Office Manager/ Assistant (U.S. Operations)Location: Delaware (Office-based)Employment Type: Part- Time (Minimum 20 hours/week, Monday–Friday)Reporting To: VP FinanceAbout the RoleClient is looking for a highly organized and detail-oriented Office Manager to oversee day-to-day administrative operations at its U.S. office. This role also collaborates with global teams across the university, offering exposure to international operations and cross-functional workstreams.The ideal candidate is process-driven, comfortable handling sensitive information, and capable of managing multiple administrative workflows efficiently.Key ResponsibilitiesAdministrative & Office OperationsManage incoming mail, including admissions transcripts, HR documents, and general correspondenceOversee graduation document processing and related workflowsProvide voicemail and telephone support as neededSupport day-to-day office operations and administrative processesAssist various teams with administrative requirementsLogistics & CoordinationHandle employee laptop logistics, including shipping, tracking, and repair coordinationManage document attestations (Notary, Apostille, Federal), including scanning, uploading, shipping, and trackingApply notary seals and signatures in compliance with state regulationsRequirementsBachelor’s degree (mandatory)3+ years of experience in office management, administration, or HR supportStrong proficiency in Microsoft Excel (data validation, formulas, reporting)Experience handling confidential and sensitive informationExcellent organizational and multitasking abilitiesStrong written and verbal communication skillsPreferred:Experience in an academic or university environment (especially admissions)Familiarity with CRM systemsKey CompetenciesTech-savvy with strong computer and office tool proficiencyHigh level of self-discipline, especially in remote collaboration environmentsStrong attention to detail and organizational skillsCritical thinking and problem-solving mindsetAbility to prioritize and manage multiple tasks effectivelyIndependent, proactive, and reliablePassion for higher education and global collaboration
