Administrative Resource Development Assistant The Administrative Resource Development Assistant provides essential administrative and operational support to the Resource Development team at the Boys & Girls Club of the Northern Plains. This position supports donor data management, record keeping, communications, and fundraising operations across multiple Clubs. The role is key to maintaining accurate donor records, supporting stewardship efforts, and assisting with fundraising initiatives that advance the mission of the organization. This is a detail-oriented administrative position ideal for someone who enjoys organization, collaboration, and supporting relationship-based fundraising efforts.
Key Responsibilities Maintain accurate donor and pledge records in CRM program, MyClubHub, including data entry, updates, reporting, and data cleanup
Assist with tracking donations, pledges, campaign activity, and stewardship actions
Support record keeping for donor stewardship plans and the resource development calendar
Ensure donor data is accurate, organized, and maintained in accordance with internal standards
Prepare and process donor thank-you letters, pledge confirmations, and acknowledgment correspondence
Assist with donor solicitation letters and pledge requests
Support donor and development-related mailings
Help coordinate donor recognition efforts, spotlights, and stewardship communications
Provide administrative and logistical support for raffles, special events, and fundraising campaigns
Assist with preparation, tracking, and follow-up related to fundraising activities
Help support stewardship plans with individual donors and business partners
Work collaboratively with the marketing team to provide accurate donor data and content for newsletters and reports
Assist in producing quarterly newsletters, donor spotlights, and development updates
Help maintain timelines and materials tied to the resource development calendar
Support the Regional Director(s) of Development, Administrative Team, and CEO with scheduling, coordination, and project support
Assist with internal reporting, documentation, and data requests related to fundraising and development
Perform other administrative and resource development duties as assigned
Employment Qualifications High school diploma or equivalent required; associate degree or coursework in business, communications, nonprofit management, or related field preferred
Strong organizational skills and attention to detail
Comfortable working with databases, spreadsheets, and donor management systems
Proficiency in Microsoft Office (Word, Excel, Outlook); CRM experience preferred
Strong written communication skills
Ability to handle confidential information with professionalism and discretion
Ability to manage multiple priorities and meet deadlines
Preferred Skills & Attributes Experience in nonprofit administration, fundraising support, or office administration
Interest in resource development, donor relations, and community engagement
Strong collaboration skills and ability to work across departments
Dependable, self-motivated, and detail-oriented
Physical Requirements Must be of the mental and physical capacity to observe, interact, and communicate with youth, staff, volunteers, parents, etc., at the Club to ensure the safety of the space and others, provide guidance and reflection per the Club priority outcomes and goals
Ability to stand/sit for long periods throughout a shift
Ability to operate various types of general office equipment including PC, telephone, copier, etc.
