The Facilities Specialist works closely with the Operations Manager, Facilities Coordinator and Facilities Clerk to fulfill office work orders and requests.ResponsibilitiesEssential Functions:Work with the Facilities Coordinators in order to achieve the strategic objectives of the Facilities teamContribute to the maintenance of the Maintenance & Capital Expenditure budgetAssists Operations Manager with planning of inter-office moves, staff and attorney departures and new-hire office set-upsAssists Operations Manager with coordinating overall maintenance of the facility, and delegation to Facilities team (including HVAC maintenance, electrical maintenance, security system maintenance, paint repairs, carpet replacement and cleaning, and sanitation)Communicate directly with vendors, engineers, etc. and service providerEnsures all service requests placed by MB personnel related to facilities are handled with professionalism, timeliness, and seen to completionCompile and maintain a SOP manual, to include benchmarking protocols against industry standardsPerforms daily floor inspections to identify problem areas and repairs for allocation to the Facilities teamEnsure the team maintains the office vendor list, including Certificate of Insurance (COI)Provide recommendations on construction matters (including furniture installation and ordering, renovations, repairs, new area constructions) and space planning. Inspect and report on construction and installation progress to Operations ManagerMonitor all building services provided by the office lease and other related contracts as applicableStrong infrastructural knowledge of HVAC systems to help monitor all of the Firm's critical HVAC equipmentMaintains accurate records regarding work orders, preventative maintenance, service requests, service log, reportsPerforms other duties as assigned or required to meet Firm goals and objectivesQualificationsEducation/Training/Certifications:Bachelor's degree in a related field. An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the jobProfessional Experience:5+ years' experience working in corporate facilities, completing or overseeing simple to complex work orders, repairs, and coordinating office moves, requiredPrevious work experience in a legal or professional services environment, strongly preferredPrevious experience with hands-on basic corporate office space maintenance including, HVAC maintenance, painting, electrical repairs, security system maintenance, associated power tools and their explicit safety procedures, requiredCustomer service focused communicator and problem solver, requiredTechnical Skills:Proficiency in Microsoft Office products such as, Teams and Outlook (email and calendaring), BigHand, requiredAbility to read and interpret documents such as office blue prints, floor plans, furniture plans and installation processes, requiredKnowledgeable of the processes, procedures and safety measures in all areas of facility maintenance, requiredCertified Office Ergonomics Evaluator, a plusPerformance Traits:Excellent written and verbal communication skills, able to communicate effectively and in a professional manner with all levels of the Firm's end usersMust have the ability to communicate effectively with vendors and tradesmen while keeping the Facilities team informedAbility to work in a diverse team environment and effectively support the demanding needs of the FirmAbility to work under pressure, meet deadlines with shifting prioritiesMust be a self-starter with a high level of initiativeStrong customer service skills, able to anticipate needsStrong attention to detail, organizational skills and the ability to handle multiple projectsMaintains confidentiality and exercises discretionExercises solid strategic thinking and problem-solving skillsPhysical Requirements:The employee is also frequently required to lift and climb a tradesman's ladderMust be able to routinely lift and carry up to 55 lbs., and occasionally up to 100 lbs.The employee is frequently required to crawl, bend, stoop, reach, walk, push, pull, lift and graspWork involves moderate exposure to unusual elements, such as temperatures, dirt, dust, fumes, smoke, unpleasant odors, and/or noises, some exposure to low level hazards or physical risks, which requires following basic safety precautionsThe typical pay scale for this position is between $90,000 and $120,000, although the actual wage or salary could be lower or higher if the candidate's education, experience, skills and internal pay alignment are different from those specified.The above is a general description of the essential duties associated with this position and does not represent an exhaustive or comprehensive list of all duties.The Firm may modify and amend this job description at any time at its sole discretion.
