Donor Relationship CoordinatorCatholic Charities of Buffalo is seeking a full-time Donor Relationship Coordinator (DRC) to support the agency's comprehensive development plan and serve as an integral member of the Development Department. Under the direct supervision of the Director of Development, the Donor Relationship Coordinator manages daily gift processing, ensures the accuracy and integrity of donor data in Raiser's Edge, and supports donor communication and stewardship activities across the agency.
This position requires a strong understanding of the organization's mission, programs, and services, as the DRC communicates with donors, parish partners, and community stakeholders on behalf of Catholic Charities. The role is essential in ensuring high-quality donor experiences, accurate and timely acknowledgements, and smooth department operations.
Job Responsibilities
Receive and process daily deposits, donor payments, and incoming correspondence.
Process credit card donations and resolve exceptions such as incorrect or expired information.
Enter and maintain donor data, update records, and manage Track Its and related documentation.
Prepare and send donor acknowledgements, invoices, pledge reminders, and other communications.
Process stock gifts, wills, memorial contributions, estates, and manage the CARS program.
Work closely with Shared Advancement Services (SAS) to ensure accurate posting of all donor records.
Manage the Development Department calendar and provide daily operational support.
Monitor and respond to department calls, emails, and incoming mail.
Coordinate pledge billing and other bulk mail projects.
Support donor stewardship activities, communications, and department mailings.
Assist the Chief Development Officer and Director of Development with daily updates, administrative support, and assigned projects.
Manage the Catholic Campaign for Human Development (CCHD) application process and communicate with applicants.
Perform other duties and special projects as assigned.
Qualifications
Associate degree in Business Administration, Accounting, Communications, or a related field (Bachelor's preferred).
Experience working in a professional office environment.
Proficient with Microsoft Office (Word, Excel, PowerPoint) and comfortable learning new web-based and mobile tools.
Familiarity with Raiser's Edge or other donor/CRM systems is a plus.
Friendly, outgoing, patient, and energetic, with strong people skills.
Professional appearance and demeanor and be able to positively represent the Development Department.
Able to work well with others, take constructive feedback, and maintain a positive attitude.
Dependable, punctual, and able to thrive in a fast-paced environment.
Detail-oriented with strong organizational and follow-through skills.
Able to use independent judgment when needed.
Flexible, team-oriented, and willing to assist wherever needed.
Experience preparing bulk mailings preferred, but not required.
Must have a valid driver's license and reliable transportation.
Able to lift and carry at least 20 pounds, including going up and down stairs.
Willing to work some evenings, weekends, and travel as needed for events and outreach.
