Position SummaryWe are seeking a detail-oriented and highly organized Order Entry Editor to join our team. This role is critical in ensuring the accuracy, completeness, and proper routing of customer orders prior to release. The ideal candidate will demonstrate strong judgment, accountability, and the ability to maintain focus in a fast-paced environment while working across multiple teams including Engineering, Customer Service, Sales, and external vendors. Key ResponsibilitiesOrder Review & RoutingReview all Unreleased Imports / Not Released orders for accuracy and completenessDetermine appropriate routing to: Engineering / Drafting (Application Engineering Teams)Customer ServiceSales RepresentativesCustomersUtilize the Nailor System Program to edit and process orders with a high degree of accuracyCommunicate effectively with internal teams, customers, and third-party vendorsCoordinate with sister companies and manage inter-company transfers (ICO's) Product & Vendor EvaluationVerify product accuracy and assign correct vendors for buy/sell items, including: AJ, Air Concepts, DACE, Jackson, Air Guide, Sunvent, KEESReview and process: Terminal UnitsFan Coil ProductsFan Powered ProductsVAV ProductsDual Duct SystemsAir Control & Distribution ProductsIdentify orders requiring Engineering review (e.g., DHRS - Duct Heaters)Coordinate with Engineering/Drafting for required drawingsManage re-submissions and revisions Order Editing & VerificationEnsure all order details are accurate prior to release, including: Freight type and delivery requirementsCustomer submission commentsSpecial models, handling, and instructionsPricing, discounts, and authorizations: Special Price QuotesSSD (Special Stocking Discounts)SDA (Special Discount Authorizations)Rush charges and special chargesInter-company purchase orders and transfersBuy/Sell products Order Monitoring & CoordinationMonitor incoming emails continuously for order-related updatesProcess requests from sister companies (Las Vegas, Safe Air, Toronto)Manage order transfers and inter-company coordination Controls Documentation & ValidationVerify completion of Customer Supplied Controls FormsAssign placeholder dates (e.g., 12/11/2026) when requiredResearch and confirm project status (new vs. existing)Communicate with customers to confirm control selectionsDistribute forms electronically as needed Production CoordinationReview and process Blue Cards from Production for Air Control / Distribution products What We're Looking ForStrong attention to detail and accuracyExcellent organizational and multitasking skillsAbility to make sound decisions and exercise judgmentStrong communication skills (written and verbal)Ability to work cross-functionally with multiple teamsExperience in order processing, HVAC industry, or manufacturing environment is a plus QualificationsHigh school diploma or equivalent required; Associate's or Bachelor's degree preferred2+ years of experience in order entry, order management, or a related administrative roleExperience in manufacturing, HVAC, or industrial products environment preferredStrong attention to detail with a high level of accuracyAbility to manage multiple priorities and meet deadlines in a fast-paced environmentExcellent problem-solving and decision-making skillsStrong written and verbal communication skillsProficiency in Microsoft Office (Excel, Outlook, Word); ERP or order management systems experience is a plusAbility to work independently and collaboratively across departments No Agencies
