Job Title: Accounting AssociateLocation: Lincolnwood, ILReports to: AccountantEmployment Type: Part-Time (2 days per week)Compensation: $18 - $22 per hourJob SummaryThe Accounting Associate will oversee and process financial transactions to support the nonprofit community mental health center’s operations. This role ensures accurate recording, payment, and reconciliation of invoices and financial data, maintaining compliance with internal policies and regulations. The Accounting Associate will work closely with the Accountant, vendors, and staff to facilitate smooth financial processes.Invoice ProcessingKey Duties and Responsibilities:Receive, verify, and enter invoices and requisitions for goods and services into accounting software.Reconcile invoices with purchase orders and resolve discrepancies in collaboration with vendors.Prepare vendor checks and ensure timely payment by managing weekly check runs.Expense ManagementReconcile expense reports with account balances and ensure proper documentation for petty cash and office expenditures.Identify potential discount opportunities with vendors and issue stop-payment orders or amendments when needed.Track and calculate sales tax based on paid invoices.Reporting And ReconciliationMaintain accurate records of accounts payable transactions and assist with the preparation of financial statements and reports.Collaborate with the Accountant to reconcile accounts payable balances and assist in month-end closing processes.Generate and manage AP reports to monitor outstanding payments and ensure all financial obligations are met.Data Management And ComplianceMaintain organized digital and physical filing systems for financial documents, vendor records, and invoices.Ensure that all financial transactions comply with internal policies and external regulations, including nonprofit reporting standards.Uphold confidentiality by managing sensitive financial data securely.Collaboration And CommunicationCoordinate with vendors, internal departments, and staff to address payment inquiries and resolve discrepancies.Provide courteous customer service when interacting with vendors and external partners regarding financial transactions.Required Skills And AbilitiesTechnical Proficiency:Familiarity with automated accounting software and proficiency with Microsoft Office Suite, particularly Excel.Attention to Detail and AccuracyStrong data entry skills with the ability to accurately manage large volumes of financial information.Exceptional organizational skills, with a focus on maintaining meticulous financial records.Analytical and Problem-Solving Abilities:Ability to resolve discrepancies efficiently and make sound financial decisions under minimal supervision.Strong time-management skills to handle multiple tasks and meet deadlines.Communication SkillsExcellent verbal and written communication skills to effectively collaborate with vendors, staff, and external partners.Ability to provide professional customer service when resolving financial inquiries.Education And ExperienceHigh school diploma or equivalent required; Associate’s degree in Accounting or Business preferred.At least two years of experience in accounts payable, accounting, or payroll.Certification as a Certified Accounts Payable Professional (CAPP) is a plus.Physical RequirementsProlonged periods of sitting at a desk and working on a computer.Occasionally required to lift and move objects up to 25 pounds.This part-time position offers an opportunity to contribute to the mission of supporting mental health services by ensuring smooth financial operations.
