Overview
A leading investment firm is seeking an experienced Executive Assistant / Administrative Manager to support a C-level finance executive while overseeing a small team of Executive Assistants. This position combines high-level executive support with administrative team leadership and is ideal for someone who thrives as a strategic partner to senior leadership while also mentoring and coordinating a strong administrative team.
The role will primarily support a C-level finance executive responsible for numerous initiatives and growth efforts across the organization . The Executive Assistant in this position will serve as a true partner, helping organize priorities, maintain clear communication, and ensure alignment across key projects and initiatives. The ideal candidate is confident, proactive, and comfortable asking thoughtful questions or pushing back when needed to keep processes moving efficiently.
This is a unique opportunity for a seasoned Executive Assistant who is interested in stepping into a broader leadership capacity while remaining closely involved in high-level executive support.
Key Responsibilities
Provide high-level executive support to a C-level finance executive, managing complex scheduling, communications, and coordination across numerous initiatives
Serve as a strategic administrative partner, helping organize priorities and ensure follow-through on key meetings and projects
Act as a gatekeeper and facilitator, maintaining clear communication between the executive and internal stakeholders
Build a strong working relationship with the executive, proactively asking questions and ensuring alignment on priorities
Prepare materials and assist with PowerPoint presentations for meetings and internal discussions
Oversee and support a team of Executive Assistants , helping maintain a collaborative and high-performing administrative function
Conduct regular check-ins and assist with performance reviews for members of the administrative team
Coordinate PTO schedules and administrative coverage across the team
Serve as a point of escalation and guidance for the administrative group when needed
Assist with meeting preparation, executive briefings, and internal communications across the organization
Maintain strong relationships across teams to ensure seamless coordination and communication
Qualifications
7–10 years of Executive Assistant experience supporting senior executives in fast-paced environments
Prior leadership or management experience overseeing administrative staff or coordinating teams
Strong relationship builder who can confidently communicate with senior stakeholders
Ability to operate as a proactive partner to an executive rather than solely providing transactional support
Highly organized, detail-oriented, and comfortable managing competing priorities
Strong communication skills and professional judgment in confidential environments
Proficiency with Microsoft Office, including PowerPoint
Bachelor's degree preferred
Schedule & Location
Hybrid schedule with 3 days per week onsite in Irving, TX
Standard hours are approximately 8:30 AM – 5:30 PM , with flexibility depending on executive needs
Compensation
The base salary for this Irving-based position ranges from $155,000 to $165,000 , plus discretionary bonus, depending on experience and qualifications.
