This role is responsible for handling day-to-day administrative functions to keep the studio running smoothly. The ideal candidate is proactive, highly organized, detail-oriented, collaborative and capable of managing multiple priorities in a fast-paced environment with weekly supervision. This is a great opportunity for someone interested in exploring the fields of architecture or landscape architecture as a potential career path or a creative individual looking for a part-time position.This is a temporary position with the potential to become permanent based on business needs, as well as the candidate’s performance, skills, and interest in the role.Key ResponsibilitiesOpen and close the studio daily, sit at the studio’s front desk and meet and welcome office visitors, clients and collaboratorsEnsure the shared office spaces are organized, tidy, and well-maintained on a daily basis, including the studio entrance, kitchen, conference rooms, storage areas, and other common areas. May include minor repairs to office equipment, as necessary and feasible. There is a regular cleaning service separate from this position.Sort and distribute mail and coordinate outgoing shipmentsOrder and manage office and kitchen supplies, meal deliveries, with expense report submission monthly.Vendor procurement and coordination for office and equipment repairs and maintenance. Maintain shared equipment, such as photocopier, printers, conference A/V equipment.Process and prepare checks in coordination with the accounting teamCoordinate company-wide calendars and meetings. Prepare and distribute management meeting agendasProcess and coordinate employee time-off requestsSupport planning and preparation of office events, happy hours, parties group visits, including ordering food, planning logistics, set-up and break-down.Assist staff with IT needs in coordination with our external IT consultants.Report to Operations team supervisors, practice leadership and assist with other administrative/operational tasks as needed.Qualifications + SkillsAssociate’s or Bachelor’s degree and experience working in an office environment.2+ years of experience in administrative support roleProficiency in Microsoft Office (Excel, Word, Outlook)Strong organizational skills and attention to detailFlexible, collaborative, and people-focused approach to day-to-day work with excellent communication skills.Take independent initiative to solve problems, prioritize tasks, and manage your time.Ability to handle sensitive and confidential information with discretion.Work Environment + SchedulePart-time, hourly position, 24 hours/week, in-personOffice-based role with regular interaction across departmentsCompensationThe annual salary range for this position is $65,000 – $75,000.How to ApplyPlease email your resume and cover letter to info@cmgsite.com.
