Position: Executive Director Type: Full Time / Reports to: Bartlett Area Chamber Board of Directors Position SummaryThe Executive Director (ED) is responsible for the day-to-day operations of the Bartlett Area Chamber of Commerce as well as the organization’s financial management, membership growth, communications, strategic partnerships, event planning, community engagement, advocacy, and government relations. This position oversees chamber staff, manages the organization’s office, and attends board and committee meetings. The ED works for the elected Board of Directors and ensures they operate within the adopted bylaws and policies and procedures, to advance the Chamber’s mission and support a thriving business environment.Key Responsibilities:Executive Leadership & Board Relations•Maintain transparency of chamber operations to the Board of Directors.•Serve as the primary spokesperson and representative of the Chamber.•Provide strategic leadership to staff, volunteers, and committees.•Prepare and send out agendas and packets for Board meetings. Present monthly reports to the Board, including financials, membership activity, and events.•Advise the Board on policies, programs, and emerging business trends.Membership Development & Retention•Lead recruitment efforts through outreach, visits, presentations, and follow-up.•Drive expansion and adoption of enhanced membership offerings.•Build and maintain strong relationships with members, understanding and advocating for their needs.•Develop and enhance member benefits that deliver measurable value.•Oversee membership tracking, renewals, engagement, and referrals.•Support and collaborate with staff on key accounts and initiatives.Event Planning & Community Engagement•Plan and execute signature events (e.g., Casino Night, Golf Outing, Oktoberfest, Member Appreciation Breakfast, Multi-Chamber Events).•Develop and manage an annual calendar of networking, educational, and community events.•Build partnerships with local chambers, nonprofits, government agencies, and civic groups while supporting community events, including Oktoberfest and village events.•Attend and act on behalf of the Chamber at community events and initiatives.•Develop and solicit sponsorship packages for all events.•Create and implement new revenue streams, including but not limited to events & initiatives.•Drive engagement & participation in committees across members & Board members.Marketing, Branding & Communications•Oversee content on chamber website and ensure timely updates.•Support the chamber’s visibility by managing active social media channels.•Support marketing initiatives, communications, and promotional efforts.•Negotiate and assist with production of the Annual Business & Community Resource Guide.Financial Management & Fundraising•Develop and manage the annual budget with fiscal responsibility.•Create & maintain a detailed profit and loss statement on signature events.•Monitor cash flow, approve expenses, and maintain accurate financial records.•Present monthly financial reports to the Board of Directors•Actively solicit to drive growth through sponsorships, fundraisers, partnerships, grants, and programs.•Maintain and securing best rates possible on bank accounts.•Oversee & initiate key revenue-generating programs, including Chamber travel (as applicable).Economic Development Advocacy•Maintain relationships with local, state, and regional elected officials and agencies.•Advocate for pro-business policies and economic development initiatives.•Collaborate with partners to support business attraction, retention, and workforce development.•Support & attend key community and economic development meetings.•Support local businesses through connections, resources, and referrals.Staff Management & Office Operations•Hire, train, and supervise staff and interns under the direction of the Board of Directors.•Establish performance goals and conduct annual evaluations of staff.•Develop and maintain efficient office systems and workflows.•Oversee contracts, vendor relationships, insurance, and facility/lease management under the direction of the Board of Directors.•Maintain a welcoming professional office environment in which to conduct business.•Assist with daily office operations as needed, including walk-ins, phone calls, and emails.•Ensure compliance with required filings, including taxes, payroll, IRS reports, and audits.•Manage payroll processing and track commission structures.•Create and maintain standard operating procedures on all operations & events.Additional Responsibilities•Support community and village events as needed.•Participate in special projects and initiatives that enhance Chamber visibility and impact.•Take on additional duties as required to ensure the success of the partners.•Capable of utilizing excellent judgement and analytical skills.•Ability to interface effectively with diverse populations, including ethnicity, education, and socioeconomic backgrounds and read multiple environments.•Extensive knowledge of all Microsoft Office applications including, but not limited to Word, PowerPoint, and Excel.•Willingness to be flexible with work schedule to meet the needs of the chamber.Preferred Knowledge, Skills & Abilities•Advanced knowledge and experience in ChamberMaster.•Proficient in QuickBooks Online•Bilingual English Spanish (beneficial)•Bachelor’s degreePhysical Demands•The position requires the physical capacity to both listen and speak effectively to clients.•Must be able to walk, stand, sit, use fingers in a repetitive motion, twist and turn for long periods of time.•The position may require some light lifting, pulling, pushing, and carrying of up to 25 pounds.Requires the operation of a motor vehicle.
