Operations Assistant
We have a fantastic opportunity available as an Academic Operations Assistant to join a growing team with a well-established higher education institution. This position is responsible for providing support to the College Academic Leaders and Faculty within the University.This position supports processes and administrative operations that include general administration, calendaring, expense processing, faculty payroll, faculty hiring, and support.Work Model: This role will start 100% remote before transitioning to hybrid in 09/2026Schedule: Monday-Friday 9am-6pm (there may be some flexibility once trained)Pay: $23-24/hr to start with room for growthEmployee Benefits: We offer weekly pay, medical insurance, dental insurance, vision insurance, life insurance, 401k, short-term disability, employee discounts, career advancement opportunities, and so much more!Day in the Life -Support logistics, create agendas, and take notes for college meetingsCreate and submit expense reports and invoices to appropriate departments for reimbursementMonitor and manage list serves, Turnitin.com, textbook orders, and portfolio informationAssist in the preparation of licensure, field training, and higher learning commission information/materialsMaintain information for course catalog, databases, annual reports, and course rostersFacilitate responses in college email role accountsAnswer incoming and making outbound calls, and prepare other materials via Word, PowerPoint, and Excel for meetings and other eventsOrder supplies and keep all office equipment operationalMonitor payroll: investigate and reconcile payroll errors and find solutionsEnter manual payments and complete monthly payroll auditsSupport the faculty hiring process; compile and distribute New Hire Paperwork documents to potential faculty members as needed and prepare personnel files for new facultyServe as point of contact if potential faculty members have questions about paperwork and assist with paperwork as neededSchedule new faculty orientation for new faculty members in collaboration with CFEKeys to Success -1+ years of professional work experience preferably in the Online Higher Education industryConfident in utilizing Excel including sorting and filtering dataBachelor's degree or equivalent experience, in business, operations, or a related fieldCreative, innovative, and able to work independently on several projects simultaneously with little or no supervisionAbility to handle sensitive and private company matters confidentially and with integritySkilled in MS Office SuiteSuccessful experience in relationship management across a range of partnersConduct healthy communications and collaborations internally and externallyStrong communication, facilitation, organizational, negotiation, and interpersonal skills
