COMPLIANCE AND INVENTORY SPECIALIST $28-32/hr + Bonus Incentives POSITION SUMMARY: Pacific Outdoor Living is seeking a dynamic and detail-oriented Compliance & Inventory Specialist to assist the Director in managing the company’s assets and records. This crucial role supports accurate budgeting and fund allocation, ultimately driving company growth and expansion. ABOUT PACIFIC OUTDOOR LIVING: Pacific Outdoor Living, based in Sun Valley, California, has been a leader in the outdoor living design-build industry since 1999. PERFORMANCE OBJECTIVES: Maintain and oversee the company’s physical file inventory, including digitization projects and proper disposal of records in compliance with regulations. Handle insurance audits and manage renewal reporting. Reconcile bank, credit card, loan, and supplier credit accounts on a daily and monthly basis. Manage and maintain subcontractor records, including tracking insurance compliance. Oversee office supply inventory and usage, ensuring adequate organization. Manage employee phone orders and setups, verifying active accounts. Review and verify purchase orders, compiling them for management approval. Oversee internal stock inventory processes. Track and manage various license renewals, tax reporting, and compliance with industry-specific requirements, including but not limited to: CSLB License, Contractor’s Bond, DBA renewals, City Business Licenses Motor Carrier Permit, Heavy Vehicle Use Tax, Hazardous Materials Inventory (CERS reporting) Worker’s Compensation payroll reporting, Sales Tax, Property & Use Tax, and 1099 forms Maintain fleet vehicle and equipment asset records, overseeing purchase and decommission checklists, insurance, and DMV filings. Ensure CARB Act Registration compliance. Oversee and maintain maintenance record files for company assets. CAPABILITIES/KEY COMPETENCIES: Proficiency in QuickBooks Desktop (experience with or transitioning to QuickBooks Online is a plus). Strong Microsoft Office skills. Experience in the construction industry is a plus. Excellent organizational skills and attention to detail. Familiarity with managing insurance and compliance reporting. EDUCATION & EXPERIENCE: · An associate’s degree or equivalent in an accounting or related field · At least 3 years of work experience in an accounting or compliance role · Experience in the construction/landscape industry is a plus but not necessary REQUIREMENTS: · Must be able to sit at a desk for long periods · Must be able to lift 25 lbs. on occasion BENEFITS: After completing 30 days of employment, you will be eligible for both dental and health benefits which become effective on the first of the following month after your initial 30 days. A 401K is also available after your 6th month of employment. Pacific Outdoor Living will match up to 4% of your weekly earnings as a contribution to 401K. Paid Time Off: After 90 days you are eligible for holiday pay: we pay six holidays per calendar year (Thanksgiving, Christmas, New Year, Memorial Day, 4th of July, and Labor Day). Paid Sick Leave accrues starting your date of hire and is available for use after 90 days of employment with a total of 6 paid sick days per year. Vacation Pay starts accruing after 6 months of employment and becomes available for use on the following schedule: After 1st year of employment, one week of paid vacation (5 working days) After 5th year of employment two weeks of paid vacation time (10 working days) And after 10 years of employment three weeks of paid vacation time (15 working days).
