Job OpportunityThe Social Director is responsible for planning, organizing, and overseeing social events and community activities for the Homeowners Association. This role enhances community spirit, encourages resident participation, and supports the HOA Board by creating inclusive, well-organized events that foster positive neighbor relationships. The Director reports to the Manager, but works closely with the Board, Committees and Club Leaders on a day-to-day basis as needed.
Key Responsibilities:
Program development and administration, facility scheduling, oversight of clubs and overall Program promotion and publicity
Create and manage master clubhouse calendar, including HOA sanctioned Clubs
Act as club Liaison and provide assistance to clubs
Plan, coordinate, and execute HOA-sponsored social events and activities
Organize and inventory all supplies needed before events
Maintain a monthly budget to monitor spending to remain within budgeted guidelines
Develop an annual or seasonal social events calendar for board approval
Coordinate logistics such as venues, permits, vendors, supplies, and volunteers, including any liability insurance or board approved signed waivers of liability
Manage event budgets and submit expense reports in accordance with HOA policies
Provide budget for events in advance to the board Treasurer and President (or designate liaison from the board)
Provide updated budget with actual expenses after event next to approved budget before events to show the board the gain or loss to each event
Provide BOD with spreadsheets outlining created budgets for various entertainment and social events for approval
Promote events through approved HOA communication channels, including advance notice to sell tickets to shows, and advertising & upselling events to residents in the clubhouse and/or poolside
Collaborate with the HOA Board, clubs, committees, and property management
Ensure events comply with HOA rules, insurance requirements, and local regulations
Planning and overseeing the details of each event, including: oversee set up for In-house performance space (i.e., seating-theater, cabaret, dinner, etc); ticket sales; technical needs; menu (work with caterer); purchasing supplies (i.e. tablecloths, number stations, decorations, favors, etc); room setup; room decorating; dressing room setup; and cleanup
Preparing the Social Director's report to be included in the management report, which is due to be delivered to the HOA board of directors in advance of the monthly board meeting
Manage time to prevent going over 40 hours/week in any given week. Take breaks off the clock if working a shift 8 hours or longer to avoid exceeding 40 hours/week and avoid taking days off in the office due to excessive hours before a Friday
Assist in office coverage when another office employee is out on vacation
Board expectations are for this position to work from the office, not home, and only approve hours off site for preparation for an event
The hours in the office when an event does not fall within the week should be 8am-5pm or 9am-6pm with a one-hour break. This may vary on event dates or preparation for events. Time must be coordinated before days off or days exceeding 8 hours with the Property Manager as your Supervisor approving timecards
Any potential overtime must be approved by the board in advance and shared with the Property Manager in advance
Recruit and coordinate volunteers for event setup, execution, and cleanup before events to save time
Gather resident feedback to improve future events
Foster an inclusive, welcoming environment for all residents
