Executive Assistant to CEONew York City (Hybrid / On-site as needed)$100,000 – $110,000 + Performance BonusImmediate HireWe are seeking a highly capable, proactive Executive Assistant to support the founder of a leading New York–based luxury design and installation firm, along with several high-growth ventures currently in development.This is not a traditional assistant role. This position is for someone who can operate as a true right hand, managing complexity, executing across multiple workstreams, and ensuring that both business and personal operations run with precision.The founder is actively building and scaling multiple initiatives across design, technology, and international operations. This role will play a critical part in that process.Key ResponsibilitiesExecutive SupportManage and optimize the founder’s calendar, scheduling, and daily prioritiesCoordinate meetings, site visits, and travel (domestic and international)Act as a gatekeeper to ensure focus on high-value activitiesOperations & CoordinationCoordinate across internal teams, clients, and external partnersTrack active projects and ensure timelines and deliverables are metProactively identify and resolve scheduling or operational conflictsMaintain organization across multiple parallel workstreamsFinancial & Administrative OversightTrack payments, invoices, and receivablesFollow up on outstanding balances and ensure consistent cash flow visibilityCoordinate with accountants and maintain organized recordsCommunication & ExecutionManage email flow and ensure timely, professional responsesDraft communications on behalf of the founderTrack action items and ensure follow-through across all areasMulti-Venture SupportSupport initiatives across multiple ventures in developmentAssist with international coordination, documentation, and operational setupMaintain organization across complex and evolving prioritiesTake ownership of execution to ensure forward momentum across all projectsWho You AreHighly organized with exceptional attention to detailProactive and able to anticipate needs before they ariseStrong communicator, both written and verbalAble to manage multiple priorities without losing clarityCalm under pressure and comfortable in a fast-paced environmentProfessional, discreet, and highly trustworthyExperience Required3–7+ years supporting a founder or senior executiveExperience in operations, project coordination, or similar rolesFamiliarity with financial tracking, invoicing, or bookkeepingExperience working across multiple projects or entities is a strong plusWhat Success Looks LikeThe founder’s time is protected and optimizedProjects and initiatives move forward without constant oversightFinancial follow-ups are consistent and organizedCommunication is clear, timely, and structuredOperations run smoothly with minimal frictionWhy This Role MattersThis is a high-impact role working directly with a founder building multiple ventures.
