Additionally, to aid with student course scheduling processes and clerical responsibilities required for the effective operation of the Counseling department.Minimum Qualifications:High School Diploma or equivalentAt least three years successful clerical experienceSuch alternatives to the above qualifications as the Superintendent or designee may find acceptableResponsibilities and Essential Functions:Essential functions, as defined under the Americans with Disabilities Act, may include any of the following representative duties, knowledge, and skills. Essential duties and responsibilities may include, but are not limited to, the following:Serves as a customer service representative to school personnel and parentsAnswers incoming calls and responds promptly and appropriately to requests for informationEstablishes and maintains satisfactory, respectful working relationships with the administration, counselors, faculty, and staffAides in scheduling of appointments, meetings, and events pertinent to the operation of the Counseling Department including, but not limited to, parent conferences, student conferences, and school toursCompiles and processes a wide variety of documents and materials for the purpose of supporting program activities, disseminating information/materials, and maintaining compliance with program, district, state, and/or federal requirements including, but not limited to, graduation, student program applications, updates to cumulative records, and summer school processesManages correspondence requesting and requiring delivery of student records for both internal and external entitiesMaintains confidential files and confidentiality with regards to student and staff informationProcesses purchase order requests, orders, and payments required of the Counseling DepartmentPerforms other duties as assigned by the Counseling Department or AdministrationCoordinate with ESE secretary and 504 secretary to aid in the coordination of IEP and 504 meetings and requirementsCoordinate with other office staff to maintain student and parent traffic in the Counseling office to ensure an orderly, safe, and confidential environmentSkills and Abilities Required:Proficient in Microsoft programs to include Word, Excel, Outlook, and other word processing applicationsProficient in Google Applications including Calendar, Docs, Sheets, Drive and other applications with might be necessaryExperience with Naviance (preferred)Ability to communicate effectively by oral and written meansKnowledge of basic office procedures and equipmentKnowledge of financial coding and purchase order processingEvaluation: Performance of this job will be evaluated annually in accordance with provisions of the GMSD Human Resources Department.Reports to: High School Vice Principal and PrincipalSupervisory Responsibility: This position has no supervisory responsibilitiesWorking Conditions:This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
