This role ensures accurate financial records, timely reporting, and regulatory compliance while managing daily transactions, reconciliations, and entity-specific financial requirements across both QuickBooks Desktop and QuickBooks Online platforms.This position is ideal for a highly organized, detail-oriented accounting professional who thrives in a multi-entity, hands-on environment and enjoys supporting growing, diverse operations.Key ResponsibilitiesEntity Accounting & BookkeepingManage full-cycle bookkeeping for multiple entities using QuickBooks Desktop and QuickBooks OnlineRecord, review, and reconcile daily financial transactions across all businessesPerform monthly bank and credit card reconciliationsMaintain clean, accurate, and audit-ready financial recordsPrepare monthly and periodic financial statements and management reportsPayroll & Tax ComplianceProcess multi-entity payroll accurately and on schedulePrepare and file payroll tax returns and related compliance filingsPrepare and submit sales tax returns for applicable entitiesEnsure compliance with federal, state, and local tax requirementsManage annual permits, licenses, and compliance filingsAccounts Receivable & PayableOversee accounts receivable and accounts payable for all entitiesEnsure timely invoicing, collections, vendor payments, and expense trackingMaintain proper documentation and approval workflowsRestaurant & Inventory AccountingImport and reconcile daily restaurant sales receiptsTrack and manage food, beverage, and operational inventorySupport cost control and inventory reporting initiativesFacilities, Real Estate & Storage OperationsPrepare monthly facility inventory and operational reportsManage AR/AP and reconciliations for real estate and storage entitiesSupport entity-specific reporting and compliance requirementsYear-End & Accountant SupportSupport month-end and year-end close processesPrepare and provide documentation to external accountants, CPAs, and tax professionalsAssist xaygatp with audits, reviews, and financial inquiries as neededGeneral DutiesMaintain accurate, organized, and confidential financial recordsIdentify opportunities for process improvements and efficienciesServe as a trusted financial partner to ownership and leadershipHandle sensitive financial information with professionalism and discretionQualificationsMinimum of 5 years of experience in full-cycle bookkeeping and payrollExperience managing multiple entities simultaneouslyStrong proficiency in QuickBooks Desktop and QuickBooks OnlineSolid understanding of payroll taxes, sales tax, and regulatory complianceExperience in restaurant, facilities, real estate, or multi-unit operations preferredHighly organized, detail-oriented, and self-directedAbility to manage competing priorities and deadlines+
