Ensures efficient resource allocation, budget management, and compliance with institutional and regulatory policies to support the academic mission. The director collaborates with executive leadership, faculty, and staff to drive strategic initiatives and operational excellence. Ensures project management for university-level academic policy development, processes, and mandatory reporting required of the Chief Academic Officer.Principal Functional ResponsibilitiesOperational and Administrative Leadership: Plan, design, implement, and evaluate support operations for the Office of the Provost and Division of Academic Affairs, including business components, communications, and project management. Serve as division liaison to enhance communication between the Provost's direct reports structure and the Dean of Students' direct reports. Supervise day-to-day operations for the Provost's suite including budgetary oversight and staff. Ensures the provision of high-level administrative support for the Provost, including schedule management and administrative support for Provost's high-volume calendar and meetings. Oversee processes at the division level for position postings and hiring ensuring availability of funding. Direct and supervise the work of the Academic Affairs Specialist.Budgeting and Reporting: Develop and coordinate divisional processes and communications for annual university zero-based budgeting cycle. Act as Division liaison for executive leaders and Budget Office and for direct reports to the Dean of Students. Maintain Provost's budget records, including Division Position Master, and related approvals for budget expenditures. Manage position searches, as requested by the Provost. Develop and coordinate annual university process to set fiscal year Student Fees, in coordination with the university budget director.University Project Management, Mandatory Reporting, and Academic Policy Development: Manage/coordinate processes required for preparation of materials for the Board of Trustees' Academic and Scientific Affairs Committee quarterly. Provide or coordinate project management for strategic academic initiatives, including new or existing programs in support of faculty, staff or students (e.g., bi-annual FERPA Training, UH-NEOMED Faculty Scholars and Student Scholars Programs, Clinical Partner Service & Teaching Excellence Awards, Military Service Celebration, etc.). Coordinate and respond to mandatory external reporting requests on behalf of the Provost/Chief Academic Officer. Manage university workflows for Academic Policy development or revisions, in partnership with the Office of General Counsel.Academic Committee Administration: Oversee university-wide annual process to staff Standing Committees of the University and the President's Compliance Committees, maintaining committee term records, process timeline, membership database and issue formal letters of appointment. Ensure administrative support for select standing committees of the university, including the University Nominating and Membership Committee, University Faculty Council, and University Bylaws Committee. Serve as formal member of the Academic Management Partnership (AMP).Other Duties: Perform other duties as assigned.QualificationsBachelor's degree and a minimum 6 years' of related experience or equivalent combination of education and relevant experience.Demonstrated superior writing and communication skillsProficient in Microsoft Office Suite, particularly ExcelPreferred QualificationsMaster's degree in higher education administration, business administration, or related fieldExperience in higher education settingExperience in finance, grants, contracts and research, academic, human resources, and accounting processes, or operations managementAbility to work collaboratively across Colleges, HR, IT, institutional research, legal counsel, and governance bodiesPhysical RequirementsMust be able to utilize a phone, computer and screen and other office equipment.Posting Detail InformationNEOMED Campus Safety GuidelinesIn an effort to keep our campus community as healthy and safe as possible, NEOMED may require vaccinations as a condition of attendance and employment.
