Overview The Cape Cod Collaborative is an educational organization providing a full range of instructional and support services to the students, parents and public school staff of our 20 member districts, whose needs are best addressed through a multi-district effort. Our student services include: alternative education programs for low incident, special needs populations; programs for the multi-handicapped; therapy and services for students requiring specialized support; and a full range of transportation services for both the special needs and general education population. We coordinate collegial sharing opportunities for various professional groups, conduct executive searches and offer a wide range of professional development and training opportunities for the educators and support personnel of our member districts. #WeAreOneCollaborative Organization: Cape Cod Collaborative – Transportation Department Position: Dispatcher Salary Range: $55,000 – $70,000 per year (commensurate with experience) Schedule: Full-Time Monday – Friday, 10:00 AM – 6:00 PM (Closing Shift) Supervision: Reports directly to and collaborates with the Operations Manager The Cape Cod Collaborative Transportation Department is seeking an organized, detail-oriented, and dependable Dispatcher to join our team. This role anchors our daily closing shift (10:00 AM – 6:00 PM), serving as the primary point of communication for late-afternoon student transport while managing critical administrative billing operations. Working under the supervision of and in close collaboration with the Operations Manager, Transportation Manager, and Assistant Transportation Manager, you will play an essential role in keeping our routes running smoothly and ensuring accurately managed financial records across our districts. Note: This is a strictly non-driving dispatch and administrative support role. Key Responsibilities Dispatch & Operational Support (Closing Shift) Closing Operations: Manage afternoon dispatch communications and operational logistics during the 10:00 AM to 6:00 PM shift. Communication: Serve as a responsive, professional point of contact for drivers, school administrators, and families regarding afternoon drop-offs, route updates, and end-of-day logistics. Problem-Solving: Address real-time shift challenges, weather delays, or scheduling adjustments with composure and efficiency. End-of-Day Operations: Secure and complete daily closing checklists, ensure all vehicles/routes are accounted for, and hand off relevant shift logs. Billing & Administrative Management Out-of-District (OOD) Billing: Reconcile, track, and process detailed billing accounts for Out-of-District student transportation services. School & Activity Trips: Oversee billing documentation for field trips and school-sponsored events. Athletic Billing: Calculate and process billing for athletic team transportation and special sports trips across participating districts. Data Integrity: Maintain precise records of route hours, mileage, and district billing codes to ensure timely financial reporting. Collaboration & Continuous Improvement Work hand-in-hand with the Operations Manager to optimize dispatcher workflows, refine routing details, and resolve billing discrepancies. Support department initiatives to improve communication channels and streamline administrative procedures. Other Duties Other duties as assigned by the Operations Manager, Transportation Manager, or Assistant Transportation Manager Qualifications & Skills Required & Preferred Experience Experience: Prior background in dispatching, logistics, administrative transportation support, or municipal/school billing preferred. Attention to Detail: High accuracy in financial data entry, record-keeping, and multi-tier billing spreadsheets. Communication: Excellent verbal and written communication skills; ability to remain calm and authoritative during busy afternoon periods. Technical Skills: Proficiency with dispatch software, Microsoft Office Suite (especially Excel), and spreadsheet/database applications. Team-Oriented: Strong interpersonal skills for collaborating effectively with operational leadership, bus drivers, and school district staff.
