Centralized Workplace Operations Manager
Job Description:The Centralized Workplace Operations Manager is responsible for coordinating and executing workplace operations at Flexential’s Denver headquarters while supporting the development and rollout of a centralized workplace operations program across more than 40 locations including our Charlotte Hub.This role balances hands on execution with project coordination and operational program support. The position contributes to building, testing, and operationalizing workplace standards and processes under the direction of the Real Estate Project Manager. While this role does not own workplace strategy or final standards, it plays a key role in ensuring those standards are executed consistently and with urgency.Success in this role requires reliability, strong critical thinking, sound judgment, and the ability to prioritize work appropriately in a fast paced, multi site environment.Key Responsibilities And Essential Job FunctionsWorkplace Requests and Service CoordinationManage and execute workplace service requests across all sites, including seating changes, room needs, signage, cleaning, temperature, and supply requestsTrack request progress, communicate status clearly, and drive timely resolutionUse judgment to distinguish between business‑critical needs and lower‑priority requestsEscalate items that fall outside defined standards, scope, or policyProject Coordination and Small Workplace ProjectsCoordinate and support small workplace projects and operational initiatives such as:conference room updates or conversionsfurniture moves, replacements, or additionsminor office reconfigurations and refreshesAssist with sequencing, tracking, and follow‑through on assigned initiativesConfirm room readiness (power, data, access, physical constraints) prior to executionCoordinate vendors and internal teams using approved scope and directionIdentify risks, dependencies, or unclear requirements early and escalate appropriatelyVendor and Landlord CoordinationServe as an execution‑level point of contact for landlords, property managers, and workplace vendorsSubmit and track service requests, coordinate access, and verify completionGather required information and ask clarifying questions before engaging vendorsEscalate scope, pricing, or timeline concerns rather than advancing with assumptionsWorkplace Program SupportSupport the development and refinement of workplace operating procedures by:drafting execution‑level documentation for approved processestesting standards through hands‑on execution and providing feedbackidentifying gaps or inconsistencies observed during day‑to‑day operationsAssist with documentation and rollout of standards related to:seating and space managementconference rooms and shared amenitiesaccess and badging workflowscleaning, organization, and breakroom experiencesafety and emergency preparedness (EAPs)Participate in continuous improvement initiatives focused on clarity, consistency, and efficiencyDocumentation, Data, and Lease SupportMaintain accurate workplace records, including seating charts, occupancy data, access logs, vendor contacts, and internal proceduresAssist with maintenance and development of Emergency Action Plan (EAP) documentation using approved templates and guidance from Compliance and EH&SSupport basic lease administration activities as needed.Workplace and Office OperationsPerform hands‑on workplace and office management activities at Denver HQ, including:stocking and maintaining breakrooms and shared amenitiesordering office supplies, consumables, and basic equipmentmanaging mail, packages, and deliveriescoordinating building and suite access, badges, and keyssupporting visiting team meetings and executive meetings as neededEnsure offices are clean, functional, and prepared for daily useProactively identify and resolve routine office‑related issues ie..broken appliances, temperature complaints, pests etc.Other DutiesPerform other duties as required and assignedRequired Qualifications3–5 years of experience in office management, workplace operations, facilities coordination, or project coordinationDemonstrated ability to coordinate multiple tasks or small projects simultaneouslyStrong critical‑thinking skills and judgment, particularly around prioritization and urgencyComfort performing hands‑on workplace and office management activitiesAbility to work effectively in environments with competing priorities and incomplete informationStrong organizational skills and attention to detailWillingness to ask questions and escalate issues instead of making assumptionsStrong written and verbal communication skillsProficiency with Microsoft Office and workplace systemsAbility to manage work across multiple locations and time zonesSome minimal travel may be requiredPreferred QualificationsBackground in Corporate Real Estate, Facilities, or Workplace OperationsCommercial furniture experience (specification, dealer coordination, layouts, ordering, or installation support)Exposure to workplace program development or process documentationBasic lease administration experience or interest in developing this skill setExperience working in a fast‑growing or multi‑site organizationBase Pay Range: Annualized salary range offered for this position is estimated to be $70,000 - $80,000.
