Operations Coordinator
ABOUT MERIDIANMeridian Packaging is a B2B packaging and materials company that sources and distributes industrial goods — primarily pallets and related packaging materials — to buyers across a range of industries. We operate lean, move fast, and take pride in building real relationships with the customers and suppliers we work with. This is a foundational role as we grow the team, and we're looking for someone who wants to grow with us.ROLE OVERVIEWThis role owns the day-to-day operational and account management functions of the business. You'll be the connective tissue between our customers, our suppliers, and internal workflows — making sure orders move smoothly from intake through delivery, invoicing, and follow-up. You'll also be a key relationship touchpoint for both buyers and suppliers on a daily basis.This is not a passive coordinator role. We expect the person in this seat to take initiative, flag problems early, and look for ways to make operations run better over time.WHAT YOU'LL DOOrder ManagementWork with customers to receive and process incoming purchase orders, ensuring order details are accurate and completeGenerate supplier POs, confirm shipment scheduling, and verify product specifications and delivery requirementsCommunicate shipment changes, delays, or updates to all relevant parties in a timely mannerTrack down and collect completed BOLs from suppliers and route for invoicingInvoicing & BillingGenerate and send customer invoices upon order completionTrack outstanding invoices and follow up on collections as neededMaintain accurate records of all billing activityCustomer & Supplier RelationshipsServe as a primary point of contact for assigned accounts — check in proactively & frequently, ensure satisfaction, and surface issues before they escalateStay on top of customers to ensure next orders are submitted on scheduleSupport onboarding of new buyers and suppliers: gather required information, walk through processes, and set expectationsFreight & LogisticsCoordinate freight scheduling for certain shipments, including working with carriers and brokersConfirm pickup and delivery windows and communicate them to all relevant partiesGeneral OperationsMaintain organized, up-to-date records across all active orders and accountsIdentify operational gaps and suggest process improvementsSupport the founding team on ad hoc tasks as the business evolvesWHAT WE'RE LOOKING FORExperience: 1–3 years in operations, logistics, supply chain, account management, or a similar role. B2B or industrial experience (distribution, freight, manufacturing, wholesale) is a strong plus.Communication: Clear, confident written and verbal communicator. Comfortable emailing suppliers, calling customers, and representing the company externally.Tech & AI Fluency: Comfortable with standard business tools and actively leverages AI tools to move faster, draft communications, and automate repetitive work. We use technology aggressively and expect this person to as well.Organization: Extremely detail-oriented. Able to manage multiple open tasks simultaneously without dropping items.Mindset: Proactive and self-directed. Identifies what needs to happen and acts without waiting to be asked.Tools: Proficient with email and spreadsheets (Excel or Google Sheets). Comfortable learning new platforms quickly.Familiarity with order management workflows — POs, invoices, BOLs — is a plus but not required. We will train the right person.
