Property Administrator
Summary:Glenstar is seeking an experienced and committed Property Administrator to support its Terraces at Solana property in Westlake, Texas. This is a full-time, on-site position, Monday through Friday, 8:00 a.m. to 5:00 p.m. This role is not hybrid.About GlenstarGlenstar is a full-service Chicago-based commercial real estate company founded in 2004. The firm provides the following services in-house:DevelopmentLeasingProperty ManagementAcquisitionsAsset ManagementConstruction & DesignEssential Duties and Responsibilities:OperationalResponsible for obtaining and filing tenant and vendor insurance certificates. Manage third party service contract providers, verify compliance with current service contracts, performance and adherence to building rules and regulations.Work with engineering and security departments to resolve building or tenant related issues.Perform regular janitorial inspections with janitorial team.Distribute daily mail received in the management office to the staff.Manage and update daily security clearance file.Assist with Glenstar Connect program to include attending monthly planning meetings and organizing, coordinating and set-up of events.Coordinate with designated vendors; monitor performance to ensure compliance with contract terms and specifications.Coordinate and manage Glenstar Giving program (philanthropy)Organize and coordinate Employee Appreciation program to include monthly and annual events, awards and training.Assist with various miscellaneous building initiatives, including special events, signage, seasonal décor and other initiatives as designated.Crosstrain with team members to enhance operational knowledge and support team coverage.Provide reception coverage.AccountingDeposit and track checks received in the management office.Code, file and enter invoices into Yardi. Coordinate and prepare monthly tenant charges for billing.Review changes in recurring tenant billings and approve commercial billing.Track and review monthly accounts receivable aging and communicate to tenants and Sr. Property Manager regarding delinquencies.Collaborate with Chief Engineer to complete monthly accruals. Work with Sr. Property Manager to plan and administer the budget process, planning, timing and documentation.Essential Skills and Qualifications:Proficiency in Excel and strong mathematical skillsAbility to work independently, multitask, and prioritize effectively.Experience with property management software (Yardi-Accounting & Angus-Work Order)Strong team collaboration skills.Excellent written and verbal communication skills.Outstanding customer service orientation with strong attention to detail.Strong analytical and critical thinking skills.Ability to manage difficult or emotional situations professionally.Demonstrated follow-through and accountability.Education and Experience:1-3 years of relevant commercial real estate experience preferred. Bachelor’s or associate degree required.Preferred RPA accreditation/candidacy.
