Intake Coordinator
Great opportunity for someone who loves scheduling puzzles!We are seeking a detail-oriented, client-focused Intake Coordinator to support a fast-paced professional services team. This role is ideal for candidates with healthcare, medical office, or surgical scheduling experience, looking to step away from healthcare, who are comfortable managing high client volume and coordinating complex workflows.Key ResponsibilitiesServe as the first point of contact for new clients; manage intake and schedulingCoordinate 10–15 new client appointments per week across multiple calendarsPrepare and track completion of onboarding paperwork prior to appointmentsSchedule follow-up/signing appointments and manage related documentationMaintain accurate client records and files in internal systemsProvide general administrative support (phones, mail, supplies, meeting coordination)QualificationsExperience in healthcare, surgical, or high-volume scheduling environments preferredStrong organizational skills with the ability to manage multiple prioritiesExcellent communication and customer service skillsHigh attention to detail and ability to handle sensitive informationProficiency with Outlook, Word, Excel, and document management systemsSchedule & Details$24/hour, full-time (40 hours/week)Monday–Friday, 8:00 AM–5:00 PM (1-hour lunch)Temporary-to-hire opportunity with initial work in Kennebunk location and transition to the Portland office after 1-2 monthsThis is a great opportunity for someone who thrives in a busy, client-facing role and enjoys keeping processes organized and on track.
