Corporate Events Planner (Ridgewood)
A boutique consulting firm specializing in corporate event production is seeking an experienced Corporate Events Planner to join its small, high-performing team.This role requires approximately 25% travel, including domestic and limited international events.Role OverviewThe Meeting Planner will support a portfolio of association and corporate event clients, managing logistics, vendor coordination, client communications, and onsite execution for live and virtual meetings. This role is well-suited for a detail-oriented professional with proven corporate events experience who thrives in a fast-paced, hands-on environment and takes pride in delivering seamless event experiences.Base salary range: $110,000–$150,000, dependent on experienceLocation: 1-2 days/week in Redwood, NJ – a lot of flexibility for remote work weekly – not necessary to go in every weekKey ResponsibilitiesEvent & Meeting ExecutionSupport the planning and delivery of live, virtual, and hybrid corporate events and conferencesCoordinate timelines, deliverables, and logistics across internal and external stakeholdersResearch, contract, and manage vendors including hotels, venues, restaurants, audiovisual partners, and travel-related servicesLead speaker rehearsals, technical run-throughs, and onsite executionPrepare event materials including speaker communications, agendas, badges, signage, and information packetsPack, ship, and manage event supplies and materialsClient & Member SupportManage professional client and member communications related to meetings and eventsFacilitate client meetings, correspondence, and ongoing project updatesCraft and deploy member communications and event-related messagingPrepare post-event reporting and client deliverablesMarketing, Operations & Administrative SupportCreate and maintain firm-owned marketing materials including website content, proposal templates, and digital outreach materialsSupport research initiatives and white paper projects by organizing materials and logisticsManage approved budgets, track expenses, and support payment processing for membership duesMaintain accurate records and reporting within project management and CRM systemsOwn general administrative responsibilities, including timely response to emails and phone callsExperience & Qualifications3+ years of professional experience, with required experience planning corporate eventsExperience working with hospitality and event vendors (hotels, AV, travel agents, venues, restaurants)Strong client service mindset with polished written and verbal communication skillsHighly organized, detail-oriented, and able to anticipate needs and prioritize effectivelyTech-savvy with the ability to problem-solve independentlyProficiency with Microsoft Office, Zoom, and project management tools; experience with platforms such as CVENT, DocuSign, Trello, WildApricot, MemberClicks, Wix, or similar systems is a plusWork Model, Travel & Physical RequirementsFull-time, remote role with optional access to a Northern New Jersey officeApproximately 25% travel, including multi-day domestic travel and limited international travelAbility to travel by air, train, or car as requiredMust be comfortable packing, lifting, and transporting event materials, assembling displays, and arranging décorYou can use WorkGrades to collect and manage your references for free and share them with us or anyone else you choose by visiting workgrades.com/home/candidate.
