Litigation Secretary
Position support 4 attorneys in their Business Litigation group.
3 days in office and 2 WFH
Legal Administrative Assistant
This role supports attorneys and legal staff by handling a wide range of administrative and legal coordination tasks that keep matters moving efficiently. Success in this position requires sound judgment, strong attention to detail, and the ability to manage sensitive information with discretion. The ideal candidate is proactive, reliable, and comfortable working in a fast-paced legal environment.
Work Arrangement
This position follows a hybrid schedule, with three days per week in the office to support collaboration and two days working remotely.
Key Responsibilities
File documents electronically in state, federal, appellate courts, and before the TTAB
Track court dates, deadlines, and case-related timelines
Monitor trademark filings and maintain docket accuracy
Draft engagement letters, fee agreements, and client communications
Coordinate logistics for depositions, hearings, and trial preparation
Manage attorney admissions, registrations, and related records
Prepare and submit filings to the USPTO and TTAB
Maintain and organize both digital and physical case files
Arrange travel plans and detailed itineraries
Handle expense reporting and reconciliation
Coordinate internal and external meetings, including materials preparation
Draft correspondence, compile reports, and assist with document preparation
Conduct research and summarize findings for attorneys
Support marketing and business development initiatives, including social media
Open new matters and assist with conflict checks
Assist with billing processes and invoice preparation
Track continuing education credits and maintain records
Manage professional memberships, registrations, and renewals
Provide coverage and support for other administrative team members as needed
Perform general administrative duties such as scheduling, call management, mail handling, and file organization
Take on additional responsibilities as needed
Qualifications & Skills
Strong client service mindset with a proactive, solutions-oriented approach
Excellent organizational skills with keen attention to detail
Ability to prioritize and manage multiple tasks effectively
Strong written and verbal communication skills, including proofreading
Familiarity with legal terminology, court procedures, and case lifecycles
Ability to work independently and exercise good judgment
Skilled at handling confidential and sensitive information with discretion
Professional demeanor and ability to perform under pressure
Proficiency with Microsoft Office (Word, Outlook, Excel, PowerPoint) and document management systems
Education & Experience
Associate or bachelors degree preferred
Significant experience in a Legal Administrative Assistant or similar role
Experience with USPTO and TTAB filings is a plus but not required.
