Secretary/Receptionist
Job Summary:
We are seeking a skilled Receptionist/Secretary to join our dynamic team. The ideal candidate will provide exceptional support to our office by ensuring a smooth and efficient administrative experience for our clients. This role is responsible for greeting visitors, managing the front desk, and handling administrative tasks. Responsibilities:
- Greet visitors and clients, answering questions and providing assistance as needed.
- Manage the front desk, answering and directing phone calls, and responding to emails.
- Perform a variety of administrative tasks, such as filing documents, preparing correspondence, and maintaining organized records.
- Provide customer support, responding to client inquiries, and resolving any issues that may arise.
- Assist with scheduling appointments and managing the office calendar.
- Handle office supplies, ensuring that the office is well-stocked and organized.
- Maintain a clean and welcoming reception area, ensuring that the space is tidy and free of clutter.
- Utilize Google Suite tools to manage emails, documents, and spreadsheets.
- Demonstrate excellent phone etiquette, professionalism, and a positive attitude in all interactions.
- Offer personal assistance to team members, such as providing support with special projects or administrative tasks.
- Manage time effectively, prioritizing tasks to meet deadlines and maintain a high level of productivity.
Qualifications:
- Previous experience as a dental receptionist or in an administrative role.
- Strong customer service skills with the ability to handle a high volume of phone calls and visitors.
- Proficiency in Microsoft Office and Google Suite.
- Excellent communication and organizational skills.
- Ability to work independently and as part of a team.
- Experience with office management and a keen eye for detail.
- Familiarity with dental practices and procedures is an asset.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- High school diploma or equivalent required; post-secondary education in a related field is an asset.
